Status Report - Task Level

MSP Pro and PS2007

One of our engineers used the "Request Progress Information" feature under
the collaborate tab while they had the project checked out. This generated a
blank Status Report request for the resource assigned to that task. No
project name, task name or info regarding the requested update.

On the assigned resource's "My Tasks" page, a question mark appeared next to
that task, indicating the PM has requested an update.

I have reviewed the Managing Enterprise Projects book and cannot find where
or how a resource would respond to this type of request. So two questions...
1. Is a status report request generated by requesting progress information
in this manner?
2. In either case, how does the resourse respond?

Any ideas?

You are using mixed terms here, which is leaving me a little confused.
There is a world of difference between a Status Update Request and a Status
Report. I think you are describing the former rather than the latter. If
not, you will need to explain more about where the team member is seeing
this blank Status Report Request.

Otherwise, when a PM requests a Status Update, he/she is saying something
like, "I need to know your progress immediately on this task." A Status
Update Request is a way of getting a task update from a team member in the
middle of a reporting period without needing to wait until the end of the
reporting period. To respond to this Status Update Request, the team member
assigned to the task needs to enter his/her current progress on the task and
then submit this update to his/her PM. Hope this helps.

Dale,

Apparently we had two coincidental events occur simultaneously. When I
researched them in the queue, they looked like they were generated by one
event when in fact they were two events. (a status report generated by the
engineer and a task update request on an individual task - both to teh same
resource) Also, the resource had notifications turned off, so I did something
you are NEVER supposed to do...I assumed.

So now, this leaves us with the "how to" portion of my question. Let me see
if I understand your explanation.

1. A resource receives an e-mail notification from the server requesting an
update on certain tasks in a project
2. The resource locates that task on their task list and adds notes,
changes %complete, etc.
3. The resource then hits the "Save all" button and it sends an update
request to the PM.
4. Once the PM accepts the update, it then updates the task on the schedule.

Do I have it?

Step #3 -- The TM should select the option checkbox for the updated task and
then click the Submit Selected button. Other than that, you've got it, my
friend! Hope this helps.

Hi Dale :)

I have a PM who is attempting to use the "Request progress information"
feature out of Pro, but the email is not sent to the resource. Any ideas?

Thanks,
Kara Saunders

You aren't giving us nearly enough information to help you solve your
problem. First of all, are you using Project Server 2002, 2003, or 2007?
Do resources receive e-mail messages when a PM publishes a new project?
When a PM makes changes to a project schedule and publishes the changes? Do
you have e-mail addresses entered for every resource in the Enterprise
Resource Pool? If the PM requests progress information, do any other
resources receive the e-mail message? Are you certain that the resources
have not deselected both of the Notifications and Reminders options to
personalize their e-mail subscriptions in PWA? Let us know the answers to
these questions, and we will try to help you.

The resources do not receive any notification via email. But the question
mark does appear in their task list.
The resources DO receive notification when a project is published. I even
tested it on my own task and I didn't receive notification either. Eash
resource is set up with an email address in the Enterprise Resource Pool.

Any ideas on how to fix this one?

Hi Kara,

MS Project Server 2003:

When you are publishing the project plan, on Publish/republish window,
make sure
you selected the "Notify all affected resource via e-mail" option.

Thanks
Chak
