Using autotext entries

T

Thorbjorn Sundboe

I run word2003 and have a few challenges in using autotext entries.

- One the autotext toolbar, when I place the cursor inside an autotextlist
field, for some fields I have "All entries" available on the autotext
toolbar and for others I only have "Body text". What determines which
entries are avilable on the tooldbar?

- How can I assign autotext entries to a certain category used by the
"Autotexlist" style that appears as a separate listing on the autotext
toolbar? How do I create new categories? I have added a few new autotext
entries, and some of them appears as separate categories

Cheers, Thorbjorn

Hi, Thorbjorn,

The category in which an entry is listed is determined by the
paragraph style that was assigned to the selection at the time the
entry was created. That is, if you select some text that has Body Text
style applied to it, and you create an AutoText entry from that
selection, then the entry will appear in the menu in the Body Text
section.

When you insert AutoText, if the insertion point is in a paragraph
formatted in Normal style, the menu shows all the categories. If the
insertion point is in text that's formatted with any other style, the
menu shows only the entries in that style's category.

Thorbjohn,

To add to Jay's explanation, to create a new category you need to create a
new style and assign and autotext entry to that style.
