Appendix header numbering problem

Folks,

I know there's been a lot of discussion around this topic. I have read
Shauna Kelly's site, and have been trying to follow, but I just can't seem
to get this working right.

I am using MS Word 2003.
I set of the separate sections for two appendices. I go the header for the
titles working fine. I used level 6 for the titles. I am now trying to use
level 7 heading for a heading in the appendix to get the heading to look
like "A.1, A.2, ..." I can manage to change the format for the heading 7 to
get the desired result. However, when I apply the formatting, it changes all
of my other headings in the document 1-5 to have no numbering. This is very
frustrating and I'm sure there is probably a simple answer from someone who
knows.

Some progress:

I managed to get Appendix A heading numbering to look as desired, "A.1, A.2,
A.3 ...", however, Appendix B (new section, and heading 6 paragraph) is not
appearing as desired, "B.1, B.2, B.3 ...", but rather as "A.10, A.11, ..."

I'm still trying to figure out how to get the Appendix B numbering as
desired. Any assistance would be appreciated.

Make sure you have Level 7 set to restart numbering after Level 6, *and*
make sure that whenever you modify the numbering of any level, you go in
through the Level 1 style to make sure that all styles remain part of the
same outline list.

I'm not sure this can work based on how I set up the headings for the
appendix. Let me provide further details:

I am adding 2 appendix sections to the document which I would like to be
shown in the table of contents. Resources I read from the Web (including
Shauna) said to create new section for each of the appendix. Then I am
supposed to use heading 1-5 for body of document and 6-9 for the appendixes.
Level 6 was used for the title of the Appendix. I did this by changing the
numbering of the heading use a "list styles" instead of numbering so I get
something like "Appendix A. Title of Appendix". Based on this, I got the
page numbering setup to number the pages for the appendixes like "A-1, A-2,
B-1 ...". So all this works good so far, I got the "Appendix A, Appendix B,
...." for the headings, the page numbering "A-1, A-2, A-3, B-1, B-2, ..." and
now one last thing, the paragraphs. So, I change the numbering for heading
level 7 to use "A.1" format. I have paragraph number restarting after Level
6, but I did not go through the level one style. However, when I try to go
to the level 1 style, I can't get the numbering right because I have a lot
of paragraph number preceding the format that I want. For example
"1.1.1.1.1.1.A". I don't know how I would get something like A.1, A.2,
A.2.1, B.1, B.1.1, B.2 and so on for the appendixes.

Seems like their should be a simple way of getting to this, but it has been
very painful thus far.

You set this up just the way you set up any other numbering. Go through
Level 1. When you get to Level 6, assuming that the default numbering shown
is something like 1.1.1.1.1.1, just delete all of that and start from
scratch, using A, B, C, numbering. For Level 7, choose "Include previous
level" and select Level 6, then add 1, 2, 3 numbering.

It definitely never hurts to be fresh when you're dealing with Word's
Outline Numbering dialog!

Hi Suzanne,

I finally got this to work, but only after having to remove the numbering
formatting for
heading 6 and heading 7 first. Apparrently, setting it through heading 1
does not overwrite
the existing setting. After removing the existing setting and following your
instructions, it is
now working as desired. It wasn't clear to me when I was initially doing
this that I could
wipe out all the 1.1.1.1.1.1 stuff and replace it with "Appendix" and then
start the numbering
from A. That was the trick. And who would have thunk that you would have to
go through
the heading 1 to set the heading 6 and 7 numbering. I think this is a
serious usability faux pas
(excuse my French) by Microsoft.

Anyway, I don't know how to thank you for your help other than to say
thank you, thank you thank you. You have just made my day.

Glad you finally got it working. I suspect it would not be necessary to make
the Appendix styles part of the same list with the other headings if you set
them up separately as Level 6 and 7 (linked to Heading 6 and Heading 7)
provided you *unlinked* the higher levels of that list from Headings 1-5,
but I believe there can be problems with setting up an outline list that
doesn't start with Level 1, so you're back to putting them all in a single
list.
