My organization is midtown mental health center and that is the name we use
for our email. I recieve protected health care information in some mail. I
believed that I had deleted the messages but when my wife was performing a
google search on our computer for mental health some of my messages appeared.
How do I avoid this from happening?

It all depends on what email client you are using, how that email client
is connected to the mail server, e.g. IMAP, or POP, etc. Even then you
probably can't be sure that information is actually deleted when you
think you "delete" it. That's the nature of computers.

The best defense is to not put sensitive information into email, and if
it must go into computer(s), make sure it is using adequate security to
address the risks associated with the sensitivity of the information.

Hope this is useful to you. Let us know.

Purchase, install, and use data-encryption software at both the sending end
and at the receiving end.

If you are handling (potentialy) secure or sensitive information, it's a
very bad idea to install third-party software (like Search Tools); you could
be leaving yourself wide open to all kinds of legal action if sensitive
information was leaked/hacked.
