Change Hours in a Work Week

S

Steve

How do I change the numbers of hours in a work week for the specific week?
Ex - Week 1: 5x8 = 40 hrs
Week 2: 5x12 = 60 hrs
Week 3: 5x10 = 50 hrs.
Whatever the last entry is becomes the default for the entire calendar for
the resource. I need specific weeks to refelct specific total hours.

Thanks

Steve

You can imply an answer from my post earlier today titled: "HELP with Task
Duration/Calendar." I posted to Grace

In there I explain how to make certain days (weeks) work days. You will
need to change the work hours.

Thanks for the reply. Unfortunately - it doesn't answer my question. I can
change working hours. The issue is the change affects the entire calendar. I
need to change specific weeks for specific resources for specific hours.

If you can advise on that - it would be greatly appreciated.

Thanks.

What are these variations in hours based upon? If they are essentially
random in nature, there can be no way of programming them to some
arbitrary point in the future.

Depending on how they are derived, there might be some scope for VBA.

Hi Steve,

As the working hours vary each week, you'll need to select the
specific week (click and drag across the dates) in question and
alter the working time for each week, just as Jim noted. This
change is done through Tools > Change Working time.

If you are referring to the setting in Tools > Options, Calendar --
that is not the correct area. Please see FAQ 5 "Default working
hours" at http://project.mvps.org/faqs.htm for more detail.

I hope this helps. Let us know how you get along.

Open the resource's calendar and go to the specific weeks in question.
Highlight the dates Mon-Fri such as 13Oct to 17Oct in the first week and set
the working times for those day to whatever times describe the 8 hours per
day, for example 8-12 and 1-5. Go to the next week, highlight all the
specifc dates and set the hours to the correct time for those days, ie, 6-12
and 1-7. do the same for the third week, such as 7-12 and 1-6.

Thanks - thats what I've been doing - but it doesn't take. One of my
colleagues thinks I might be missing some updates. I'll try to get those
uploaded and see if it works then.

Appreciate all the help.

Good weekend to all.

My point really was that unless there is some way of algorithmically
determining the hours on a week by week basis then there cannot possibly
be a way of automating this.

Would you like to explain where the specific figures you give game from?

Hi Steve,

You don't note what version (2003, 2007) you are using. Project
2003 is up to Service Pack 3, Project 2007 has service pack 1 and an
infrastructure update.

If you are using Project 2007 and editing the times, make sure you
press ENTER before clicking on OK to close the Details dialog box.

I hope this helps. Let us know how you get along.

Hi Julie - we're on 2007. I've done all thats been suggested by everyone. It
doesn't work. Changing 1 specific 5 day (M-F) work week for one specific
resource from 8a-5p to 8a-9p defaults his entire calendar. Very frustrating.

Hi Steve,

You may be changing the data in the wrong place. Try following the
step-by-step below.

1. Display a resource view (Resource Sheet or Resource Usage)
2. Double click on the resource's name to open the Resource
Information dialog box.
3. On the General tab, click the Change Working Time button to
display the Resource's calendar in the Change Working Time dialog
box.
3. Scroll the calendar to the required month.
4. Click the drag to select the Monday, Tuesday, Wednesday,
Thursday, and Friday dates.
5. Click the Exception tab and enter a name for the exception (Long
Week for example)
6. Click in the Start or Finish field in that row. (This is just to
activate the details button)
7. Click the Details button.
8. Click the "Working Times" radio button to populate the From and
To boxes with the standard 8:00 to 12:00 pm and 1:00 pm to 5:00 pm.
9. Change the 5:00 pm to 9:00 pm and press ENTER.
10. If the Long week repeats on a regular schedule set a recurrence
pattern of weekly every x weeks and check Monday, Tuesday,
Wednesday, Thursday, Friday
11. Click Ok to close the Details box and return to the Change
Working time. Monday through Friday of the selected week should now
be blue and you should be able to see the changed working time.
12. Click OK to close the Change Working Time dialog box.

I hope this helps. Let us know how you get along.

Hi - Finally got the calendar to work on a week by week basis (new laptop,
fresh install of MS Project).

Created a test project plan, only 1 resource, 4 different schedules for 4
different weeks.

Now - what I need to happen is when I have the resource scheduled for a 60
hr week (5x12), the WORK column shows 8 hrs - not 12. If I change the hours
manually to 12, the DURATION changes to 1.25 days. Its not picking up the
calendar(s) for the resource. What am I doing wrong?

Thanks,

Steve

Hi Steve,

I think you're a bit muddled about the difference between work and
duration. My guess is that you had a "day" defined as 8 hours on
the Tools > Options, Calendar page. When you create a one day
duration task and assign your resource at 100% project only
schedules 8 hours of work based upon the calculation:

Task Duration * Units Assigned = Work

When you change the work to 12 hours -- based upon the definition of
1 day = 8 hours, it is 1.25 days in duration -- however the finish
date/time should still be on day 1.

Try creating a one week duration task. Without a resource assigned,
the task should start on Monday and end on Friday. If you assign
your 12 hour per day resource you'll see the finish date of the task
change to mid-day on day 4 but still see 40 hours of work. Because
your resource works 12 hours per day the 40 hours of work is
completed before Friday.

If you create a 1 week duration task and assign the 40 hour per week
resource, the finish date should still be Friday with 40 hours of
work.

See FAQ #5 at http://project.mvps.org/faqs.htm

I hope this helps. Let us know how you get along.
