Don't show email address, just name, when replying

I am running Microsoft Outlook 2003 (11.8010.6568) SP2 under Windows XP Home.

Many of the emails I receive show just the names of the sender in the 'From'
address line, but when I click on 'Reply' or 'Reply All,' Outlook shows both
the person's name and his / her email address (e.g., 'John Smith' becomes
'John Smith <[email protected]>').

How do I set Outlook's default so that when I click 'Reply' or 'Reply All'
what appears in the 'To' line is just the person's name (e.g., 'John Smith')
and not the entire address (e.g., 'John Smith <[email protected]>') ?

Thank you for any help you can give me.

You can change the Email Display As field to what ever you want in the
individual Contact Records.

Thank you for the response, but either I don't understand the response or it
doesn't apply my problem.

Whenever I add someone to my Contacts file, I enter just their name in the
'Display as' box. Then, when I create a new email and access my address book
for their address, only their name appears in the address line. That is not
the problem I am having.

The problem I am having happens only when I reply to an email I have
received. The entries in the address line will show only the names of the
people, but, when I click 'Reply' or 'Reply All,' all of the entries in the
address line switch from, say, just plain 'John Smith' to 'John Smith
<[email protected]>.' The people in the address line often are not in my
Contacts file, so, changing the 'Display As' field in my Contacts file is not
an option. What I want to do is set the default so, when I click 'Reply' or
'Reply All,' the entries in the address line appear just as they did in the
email I received. Can you tell me how to do this, please ? Thank you.

So you are asking Outlook to change the format of the address that the
sender specified?
No email program would do that. Not sure why you would even expect it to.
Why do you want to override the sender's preference? Outlook derives the
address format from the header of the sender's message.
The format of the address in the To: field is of no consequence.

Regrettably, I appear not to be making myself clear. Please bear with me as
I try to explain the problem again.

When I receive an email, the only thing that appears in the 'From:' field is
'John Smith.' I understand that underlying that name is the sender's email
address, but the email address does not appear in the 'From:' field; just the
words 'John Smith.'

When I click 'Reply,' what I want Outlook to do is show just the words 'John
Smith' in the 'To:' field and keep the email address hidden (i.e., keep it
the way the sender had it). The problem is Outlook is unhiding the email
address and adding it to the name. Consequently, instead of just the words
'John Smith' appearing in the 'To;' field, Outlook is showing 'John Smith
<[email protected]>' in the 'To:' field.

What I am asking is how do I set Outlook's default so that it hides the

I understood your question.
You did not understand my answer.
As I've explained, you can't do what you want.
Moreover there is no need to. The format of the address in the To: field is
of no consequence.

The reason it does matter how the address appears in the address lines is
because, if only the names appear, it makes it much easier when there are,
say, 20 people in the address line to see to whom the email is being sent.

As for it not being possible to stop the email address from being included
in the address line, that doesn't seem correct. I have been using Outlook
for a few years now and I did not have this problem in the past. I recently
purchased a new computer, installed the same version of Microsoft Office on
it, transferred the *.pst file from my old computer, and everything worked
great ... except the program now is including the email address with the name
when I click the 'Reply' button. The only difference between the two
computers, besides a faster CPU, is I switched from Windows XP Pro to Windows
XP Home.

I remember your name. You were a great help to me in the past both when I
migrated from Netscape and again when you practically saved my corproate life
by helping me restore my old emails after I accidentally deleted my *.pst
file. I am hoping you will be able to help me again. If you do not know
how to fix this problem, is there any chance a Microsoft developer might know
the answer ?

Sorry, but I've given you the only answer there is. Here's a Display Name
history lesson for you. How Outlook formats the Display Name has changed
with each successive version of Outlook. At first, when Outlook showed only
the email address, users asked to see the Familiar Name rather than the
email address so they could better recognize the recipient. So when Outlook
changed to show only the Familiar Name, other users asked to see the email
address instead. So in the current version the developers decided to try to
please both camps by including both the familiar name and the email address
in the Display Name.

Now you can override that format by changing the Display Name to whatever
your prefer in the Contact Record, but that format will only apply to the
new messages you send. When you reply to a message, Outlook will construct
the Display Name from the information it pulls from the sender's message
header (not your Contact Record), and it will use its default format. You
cannot override that. The actual result will vary depending on what exists
in the sender's email header.

So you are in a very small third camp (one, so far). The reason most users
don't perseverate over this is that both the familiar name and email address
is information that is readily apparent to all recipients no matter how
Outlook formats the Display Name in the To: field.

It's OK with me if you don't believe me, and you can certainly appeal my
opinion to a higher court. All I know is what I see.

Dear Russ,

Your 'history' response was very informative, and, no, I do not plan to
appeal this to a 'higher authority.' You've proven yourself to me to be very
knowledgeable about Outlook, so I believe you when you say there is nothing
further to be done. While I am disappointed to find myself in a small
minority on a matter of preference, it won't be the first time. I also
understand the software would be unwieldy and full of bugs were Microsoft to
attempt to permit infinite customization.

Again, I really appreciate corresponding with you. You always have given me
great advice and / or the correct information. I appreciate it very much.
