Duplicate Contacts

I HAVE 2 QUESTIONS.

I am very new to the Outlook that comes with Microsoft Office 2003. I had
made a contact list of members in our church. Our Pastor had the same list,
however he had entered some additional information to some of the contacts.
We used a sync program to synchronize our Outlooks. But when we did that, we
both got duplicate entries showing up on both of our computers. Some of my
entries have different information on them than the Pastor's entries. Is
there a way to delete the duplicate entries and still have all the
information from both entries show up on just one contact for each person? I
hope you can understand what I am saying.

Question 2: Pastor marked for some contacts on his computer to be "Private"
by checking the box in the lower right corner when the contact is opened.
When we synchronized, those private entries did not show up in my computer.
However, when he was making appointments, he clicked on the "private" box
when he opened the appointment. And when we synced the computers, those
entries WERE able to be opened by me even though they were checked as
"Private". Is there a way for me to know by looking at the calendar on my
computer that he has a scheduled an appointment for that time slot, but not
be able to open the appointment to view any of the notes he has listed for it?

The program we used was a free one by Curosoft called OutlookSync. We are
using computers with XP operating system.
