how do I turn off the recent documents list on th command toolbar

If you mean the recent documents list that appears on the file menu or in
2007 when you click the office button, then set the recent file list to
zero. Tools > options > General.

Windows does however keep all sorts of activity information that can't be
'switched off'. You need privacy software to deal with that.

Or you need to make sure you aren't doing something you shouldn't be doing
on a shared computer.
