How do you import multiple resources from Excel to MS Project?

Hi,

I am trying to import tasks into Project 2003 with multiple resources
assigned. I have a map that very successfully brings task name, start,
and duration from Excel into my Project file. I have another map that
adds in Resource Name, Work, and Actual Work. If I just have one
resource per task, I don't have a problem; however, if I have two or
more, it will only import the first resource and ignore the rest. Is
there a way to do this? Thanks!

Hi JenB,

How are your resources in the Excel file listed? I was just able to do
a fast test with multiple resources listed, separated by commas. I
imported their names into the [Resource Names] field without difficulty.

Name Resource Name Work Actual Work
Netscout Upgrades Saurer 222.25 40.25
Smith 100 20

I have tried putting commas inbetween (Saurer,Smith) but I haven't been
able to get that to work yet (but perhaps I'm doing something goofy?).

I need to be able to assign separate work hours to each resource on the
task. I just don't know how to set-up my data in Excel to get this to
work! I know how to do it in Project (double-click, assign resources,
etc) but I need to be able to import all of this information instead of
doing it manually...

One more thing - in the preview pane of the Import Wizard, it looks
exactly like how my data looks above; however, when I click "Finish" it
only imports the first resource.....

Hi JenB,

Well, if it makes you feel any better, I've now been struggling with
this too! ;-)

I was only able to get assignment data imported *consistently* by taking
an existing blank project and saving the project as an Excel template.
Then by reproducing the setup of the Excel file in a new file (same
headings, same Excel tab names) I was able to get the import of the
assignment data to work.

I *think* I understand where a couple of your problems were coming from
because I was able to reproduce the error you were seeing with more than
one resource on a task, the actual work wasn't getting recorded. The
only fix I was reliably able to get was to:
1) Repeat the name of the task for each assignment. In other words if
Mary and Bob were both assigned to Task 1, in the Excel sheet with
assignments, repeat the Task 1 name on the row for Mary and for Bob.
2) Don't try to give Project Actual and Remaining work. Give Project
Work, and % work complete. That will calculate the actual work.

I hope this is helpful. Let us know how you get along.

Hi Julie,

Saving my project file as an Excel file was a huge help. Now I have all
of my data organized just how project wants it.

In my Excel file there are three tabs that contain the following
information:

Task: Name, Duration, Start
Resource: Name
Assignment: Task Name, Resource Name, Work, Actual Work

Essentially, I will be updating this information on a weekly basis so
it will not be just a "one-time" import. Tasks will be added, resources
added, work modified, etc.

Right now, I am merging in Task information (Name, Duration, Start) and
Resources (Name), which seems to work perfectly. Then, a separate map
appends in Assignments (Task Name, Resource Name, Work, Actual Work).
All of the data looks good except the Work hours. They are just a
little bit off. The Assignment Units and Actual Work hours are correct
but not the Work hours.

Any ideas?

Hi JenB,

You're very welcome and thanks for the feedback.

The slight variance you are seeing may likely be due to rounding in
Project. I frequently see that if I export data out to Excel and then
perform mathematical calculations the data is very slightly different.
