Limiting views or filters using the Organizer in Tools

I thought I would be able to limit or restrict the amount of avaialbe
views/filters in the drop-down list if I removed them using the Organizer
tool? My intent was to clean up or make the drop down list more manageable
by removing most of the ones I don't use. I was only removing/deleting them
on the selected file, not deleting them in Global.mpt (reason: just in case I
wanted to use them in the future). I am doing something wrong?

Hello R. Scott Fleming,

To remove the name of the view from the View menu (or View shortcut
menu), choose View > More Views, select the name of the view in the
More Views dialog box and click the Edit button. In the View
Definition dialog box, uncheck "Show in menu". The view will still
be available through the More Views dialog box, but will not longer
show in the View menu.

Thank you! However they still show up in the drop-down on the view toolbar.
This is where I also would like to have them limited as well...

You're welcome and thanks for the feedback.

Sorry, I'm not familiar with the "View toolbar" Is that a component
in PWA? If so, please re-post your followup question to the Project
Server newsgroup. Someone there may be able to assist more quickly.

If you've added the View drop-down toolbar button to an existing
toolbar, sorry, that shows all views from the More Views dialog box.
And short of permanently deleting a view from Global, I believe it
will always show all views. I personally edit the list of view
which show in the menu and use the shortcut view menu to easily
switch view.

Yes, I just added the view toolbar or drop-down box (via Customize, Commands,
drag&drop) to the existing toolbar.

I appreciate the input on using/managing the shortcut views, however I can't
use that suggestion for the "filter" drop-down box....

My plan was to setup and define a set of standard views and filters for
other users in order to make it simplier for them when switching between the
options (ie limiting the number of selections in the drop-downs)....

It would be my suggestion to MS that they consider getting the Organizer to
function where the views/filters could be minimized by deleting them and if
needed again, just copy back over again from the Global.mpt (just my opinion
however)...

If I decide to delete them in the Global.mpt, is there a way to
re-initialize them?

Hi,

Through the organizer, copy the unwanted objects into a new file, save that
one.
Now delete the object from the global.
When needed you can almwaysget them beack.

Hi,

As Jan noted (thanks Jan) if you delete the view from the file using
the Organizer, the name of the view will be removed from that
specific file. If you wish to remove the view from all new files
you could delete the view from Global.mpt. Another option is to
create a custom template which contains any customization (inclusion
and deletion of view, custom filters, etc) and make that template
available to other users.

Thank you for your suggestion. Now my only concern is that I find a way
to carefully save this file and not loose it or remember that it is the file
that contains the original Global info...

In addition to what Jan and Julie told you, here is one more piece of
information. You can also delete whatever you want from your Global file
to customize it to your needs. You do NOT have to copy existing Global
information to a separate file in the event that you need to restore it
(although there may be other reason why you might want a separate file).
Project will automatically generate a new default Global file if you
find the active Global file and dump it in the trash. It is one area of
Project that is pretty robust.

Project file, in the Organizer, I removed/deleted, as an example, the
"Calander" view in the Global.mpt. I next opened a new project and noticed
that the "Calander" view was NOT available. The only way I could get it back
was to use a file that I copied the Global info to as Jan has suggested...

Does the Global.mpt file reside on my local station or on the server?

Hi,

John means the following.
If you completely delete the global.mpt file, then start Project, it will
re-create a global.mpt file but with the default everything.
When you want to delete things from the global but keep them for later
re-install, when they have been customized, you have to copy as I wrote.

R.Scott,
It depends on how you have Project installed. If it is a stand alone
installation on your PC, then the Global file resides on your hard
drive. For Windows XP and Project 2003, the Global file is located in:
C:\Documents and Settings\[username]\Application Data\Microsoft\MS
Project\11\1033
In my case the [username] is John

That will be your active Global. If you move that file to the trash and
then re-start Project, Project will automatically create a new default
Global file from its backup template.

If you run Project from a server, there may still be a local copy of the
Global on your hard drive. You will have to check.
