Making Forms Read Only To Certain Users

Is it possible to have a form that after it is filled out would then become
ready only to a certain user membership level. For instance if we had a form
that would contain sensitive information that only our HR department needed
to see and not all members of the work space needed to see could we lock that
filled out form to only be seen by a Manager in the workspace? Or if not is
there a work around similar to this? Any information anybody can provide is
greatly appreciated. Thank you.

Hi K-

Do you mean "read only" or "cannot see" ?

Every Groove forms record has two fields - _Reader and _Editors. You can
use these to control who can see and edit records. I cannot remember how
"safe" these fields are. For example, is it possible to save the forms
data to a file, ignoring the _Readers field.

Guess I should have been a little more clear. I mean to do not see.
Basically we have a workspace setup for our HR dept and there are forms that
employees need to fill out that only the HR dept should see after they have
been completed. Don't want other employees seeing personal sensitive
information.

group. For example an employee fills out a form containing confidential
information, I need then for it only to be able to be viewed by a manager and
no one else. Is this possible? Any information is greatly appreciated.

In summary, you want to allow a non-manager to fill in a form and
thereafter only managers can see it.

Having thought about it a little more, what might work is to define a
view that only shows up filled in records, and make this view only
available to managers.

Groove allows some degree of information hiding, but it is intended to
filter our irrelevant information rather than provide security. See this

I worry about what happens if a space member backs up a space and
restores it, becoming a manager.

I don't want to sound like I'm pouring cold water onto your idea, but
Groove really works best when a shared space is truly shared - its model
is that of trust within a shared space. A number of people have tried to
create a 'semi-shared' approach without a lot of satisfaction, over the
years.

employees filling out the forms, I would just uncheck all of the items in
their view so that they saw nothing. And then give our HR manager the option
to view all of the data that they filled out in their view and be able to
open the record? Confirmation one way or another is greatly appreciated.

Yep, thats pretty much it, provided you bear in mind the fact that this
data is on everyones PC and is accessible if they do a space backup and
restore.
