Mass Mailing to 700 email addresses using Outlook 2002 and Word 2002

1. I will be including attachments with the email. I need to know what method is the most secure - sending the format in HTML or in Text Format? And, is there any advantage to either one of them? And would both the attachment and the actual email need to be in the same format

2. I understand that by using a Distribution List, I have limitations set by my ISP on how many email addresses are in my Distribution List. Does Outlook 2003 also have limitations

Also, if one of the addresses in the Distribution List is incorrect, will that one email be the only one that bounces back to me as undeliverable or does the entire Distribution List get bounced back to me

3. Mail Merge Option - in order to send attachments, I must use 3rd party software. Is that correct?

Both are as secure as the other. HTML is considered easier to read. If you
use mail merge, it's not subject ot address book security alerts.

Non-exchange users seem to have a limit of the # of characters allowedin the
to field.
Also, if one of the addresses in the Distribution List is incorrect, will

does the entire Distribution List get bounced back to me?

I beleive the whole DL is bounced. It may be different between
exchange/non-exchange users.

Correct. Outlook can't handle attachments in the merge.

Please advise what a "non-exchange" user is?

And how would I identify whether I am a non-exchange user or an exchange user

Also, my #2 previous question was related to Outlook 2002....not Outlook 2003 as I indicated. Is the answer the same being the version is actually an older version

Hi - you've cut off the original thread, so I don't know that most people
are going to know what you're talking about.

Re Exchange - if you are not connected to a mailbox on a Microsoft Exchange
Server, you aren't using Exchange.

I guess you could say it's whatever limit gets hit first. Probably going to
be your ISP's.
New question: If I want to use a distribution lists for 2000 e-mails,
can I use HTML format in these messages? I understood that when using
mail merge with HTML format, it is difficult to identify whether the
message was sent. I don't want a conflict using HTML when using a
distribution list.

You can't use mail merge w/HTML...only plain text. Nor with attachments.
New question: We are not an exchange user, so if one of the email
addresses in a distribution list is bounced back (wrong address or
whatever), will that entire distribution list get bounced back or
only the incorrect email addressed item?

If you send out mass mail and have an incorrect address, it'll stop sending
entirely & generate an error, IIRC.

If you're going to send out this much mail on a regular basis, might want to
look into a third party listserve program like Lyris or something else that
can handle it better and deal w/ subscribe/unsubscribe requests, delivery
failures/bounces, etc... that's an awful lot of mail.

Actually you can do HTML mail merges with Office XP (Outlook/Word 2002) and
later...but still no attachments :)

Please clarify, if incorrect address in a distribution list, will the entire distro list be returned with no emails sent to any of the good email addresses?

I believe mail will be delivered to all of the correct addresses.
