Microsoft Project Report Question ...

I'm trying to create a report that will show anything not completed that has
a completion date in the past or within the next week.

Can someone point me in the right direction for how to create a report like
this in MS Project 2003 Standard.

OK, that shouldn't be too hard. You didn't mention what information you
want in the "report" but let's assume a standard Gantt Chart has what
you need. I will also assume you don't need to see Summary Lines (i.e.
you are only interested in performance tasks that are incomplete or
won't finish in the next week).

One method is to set up a simple interactive filter as follows:
And/Or Field Name Test Value
% Complete is less than 100%
And Summary equals No
And Finish is less than "Enter date that is one week
from today"?

If you don't want to enter the date each time, you can create a custom
field with a calculated date and then use that in the filter in place of
the interactive question. For example, put the following formula in
spare Date1 and change the "Enter date..." to [Date1].
Date1 = [Current Date]+7

Hi Again ... is there a way to take this report further?

Right now this report creates a long list of incomplete tasks (see below to
refresh your memory) ... is there any way to have the report sort the tasks
by the headings above them. People are saying, it's great to see all the
incomplete tasks, but, we need the greater headings above those tasks so we
can quickly associate the task with where it sits in the timeline.
Hopefully I have explained this properly.

If by "greater heading" your folks are referring to the associated
Summary LInes, then simply remove the test for the Summary field in the
filter. Although your current post mentions "sorting" I will assume you
don't really want to "sort" the tasks, (there was no mention of sorting
in your original post), but rather you are simply thinking a filter set
of tasks is a type of "sort".

Just for reference, sorting is very different from filtering. In Project
sorting changes the order of ALL the rows (task or resource) that are
shown in the view. On the other hand filtering selects a limited group
of rows for the view. Sorting and filtering can be combined to give a
customized view but with this type of customized view, Summary Lines are
likely to NOT be associated with the subtasks. Hope I didn't confuse the
issue.

If you DO want to filter and sort, there are ways to do that.

This helps so much.

The report is looking alot much better. I am still missing the highest
level.

Example:

+ Phase II
+ part I
North east
- stand up server
- installed backup software

Everything is showing in the report except "Phase II", the top most heading.

Any idea why that might be??

It sounds like you are using the Project Summary Task for
"Phase II" and that the option to show that task got turned off. To turn
it back on, go to Tools/Options/View tab at the bottom of the window.

The filtered view is working properly, and I can print right from the
filtered view to see all incompleted tasks before a date, showing underneath
the summary where they live, but the print out is hugh and shows the gant
chart .. I would like to print the results of my filter using reports ...

When I take what I have filtered, and I want to use view/reports ... I can't
find a way to sort the incompleted tasks under their summary headings ... I
can only see a list of all incomplete tasks, or, sorted by month. I am
wanting to print from the report view cause I can get all the information
printed alot smaller ..

How do I use reports to print my filtered view, showing tasks under their
summary headings. I hope my terminnology is somewhat close to explaining
this right. :)

If it's just the Gantt graphic that you don't want there is a simple
fix. Use the Task Sheet view instead - it has no graphic. You can also
change the font size to fit more "stuff" unto a page.

To be honest I don't have a lot of use for the built-in reports but they
do work for some people. I took a quick look at what is available and it
looks like you would probably have to generate your own custom task
report - I would start with the "task" report and customize it as
needed. It does allow you to filter and sort and also show associated
Summary Lines.

ahhh... ok ... at this point I have been getting the filter to give me what
I want to see on the screen, and then, using report to lay it out nicely. I
will look at how to print right from the view and see how that goes.
