Multiple Projects and tasks

Mandy J.S.

I have multiple projects linked into one project file. What I have is 7
seminars that are being planned every month. I have them broken down to
month then by date and then by location. So that they are all linked into
the master project which will house all of these. What I would like to do is
print out a task list for "Heather". She has tasks in all 7 seminars. How
do I print this out? I am playing around with it and just not getting it to
work out correctly. Can you help me out with this? Thank you so much for
your assistance.

Mandy,
Can we help you? Sure. But before we can help you we need some
clarification.

First, you say you have 7 separate projects that are broken down by
month then by date and then by location. This sounds more like a sorted
file than the file structure itself. Could you please clarify the actual
file structure. For example, is each project sorted or are the three
levels of breakdown described in some type of hierarchal structure? An
simple example would be very helpful.

Second, is "Heather" a resource, (this is the obvious assumption but
maybe it's not the case here), or is she identified in some other way in
the 7 projects?

I think I figured it all out. :) I created 7 projects with various end
dates. Some may fall on the same dates. Then I created another project and
imported the projects all for a particular date, which all end dates are on
Saturdays. Then I created another project for that month and imported the
date projects. The master file then houses all the monthly projects. We are
an events department that plans seminars. We will grow from 7 to about 30
coming up February, so thus the need to get this all down before those come
on board.

Yes, Heather is a resource and is designated thusly. Here's what I did to
create what I wanted to.

I am in the Gantt Chart view. I am then going up to the formatting toolbar
where there is drop down menu which defaults to "All Tasks" and I chose
"Using Resource in date range". I found that I had to have everything open
before doing this though. It worked beautifully and got me what I wanted.

Mandy,
Great, sometimes the best solution is the one you find on your own. If
we can be of further service, please post again.
