When someone receives an email message from this account, it has a prefix
(which is automatically added) that says: "On (date), John Smith wrote...."
The problem is that our business and email account are used by two people
but recipients always assume that the letter is from the person whose name
automatically comes in the prefix message, and often causes confusion. How
can we change it to say "John and Mary Smith"?

Outlook does not have the ability to do what you describe. You must be
using an add-in or some program other than Outlook. Therefore, consult the
documentation for the add-in or the program you are using.
