OOO name different than " normal name" to recipient

I deal with a customer and normally their user info appears correct to
me.
Let's say it's normally " Jane Smith" and "Bill Smith". They are on
vacation and I just received an OOO from each saying that: "
(e-mail address removed)" is OOO and will return on Sept 18th. Same thing for
Bill - his reply shows as " (e-mail address removed) " Why is that ? Why not
" Bill Smith" as usual ?

I'd never seen that before and I'm wondering where that's set up. Is
that a setting on their server ? Or something a user can change when
they return ? ( I don't know what version of Outlook they use)
The reason I ask is that theirs is a small company and they have their
email hosted, so would it be the email provider or client end to display
the wrong name - and how come only when OOO rule is on ?

Out of Office replies are sent by the server, not the client. Any customizations your recipients made in Outlook would not apply to the server where it replies with the valid email address, not the alias you are used to seeing.

But I sent the message to a bunch of folks and only those at this one
company came back this way. OOO replies from other friends to that same
message ( from HP for example), the FROM field appears as an OOO
message from " First Last " not (e-mail address removed) . What's "right "
about the HP server that is not right on the email server for these
folks ?
