OUTLOOK 2002 : Don't send out meeting requests !!

Please Help:

Here is one time where automation causes problems......

I need to create "private" meeting requests. As a Salesperson I am
constantly rearranging my schedule. I would like to be able to set up
meetings in my calendar with Date/Time and Contact information with out the
meeting request being sent out! Then during or after viisting the client
fill in my meeting notes.

The problem is that everytime I enter a contact into an appointment into my
calendar, (at the bottom) it automatically sends out a meeting request, and
any notes (private) that I don't care to share. Typically this is what I
questions I need to have answered, open issues, links to spreadsheets, files,
etc. That I need for the meeting. Additionally, when I have to rearrange my
shedule this then cascades changes for all of the other meetings that day.
Sometimes I just move appointments 1/2 hour and then --- emails meeting
requests automatically sent.

How can I simply TURN OFF the sending of appointments/meeting requests? I
actually prefer to scheudule my appointments the old fashioned way BY PHONE,
and NOT have my private meeting preparation notes shared with my clients!

It is very helpful to have the <contact> field in the Calendar, so that I
can review who was in a meeting, what was discussed and when. However,As I am
using Calendar, It is jus not right have these notes sent out to the contact
list automatically.

My only workaround I have created so far is to have a "dummy" contact for
each clients project. I enter the <Project Name> the contact field then set
the field <file as> accordingly. I am very careful to make sure that I have
left off ALL contact fields for this <ProjectName>. However, If I have more
than one attendee at each meeting this does not work. I am able to add in
the contacts field at the bottom (of contacts (addtional related contacts)
for each project in the Contact field.

However, link is then not dynamic and can not inform me of who attended
which meeting. It is just a static list of that links the Contacts with a
Project.

This is extremely cumbersome, yet seemingly so simple. Certainly there
should be an easier way NOT to send out meeting requests if a contact is
entered into the <contacts> field of calendar?

Any advise is greatly appreciated.
