Problem with sending email to contacts in Outlook 2007

A

Adrian

I'm hoping someone can help me with this one....

I am running Outlook 2007 with Vista. On sending an email to a contact I
click on the "to" box, select the name etc to bring up the display name of
the contact in the email message box (name and email address). But it will
not send the email - the send receive process works fine but the email stays
in the outbox.

However, if I type the email address directly into the "to" box and send,
the message goes fine. So it would seem to be something with Outlook rather
than my email settings?

Any ideas?

Thank you.

It sounds like the email address is not resolving. Did you import your contacts by any chance? Once you put the name in the TO field, try manually resolving it by pressing Alt+K.

I did import the contacts - they were originally on my pda - i used this to
update outlook 2002 on my new computer which I then upgraded to outlook 2007.

I think the email address is resolving because it comes up with the address
in brackets after the name in the to box? I've tried it anyway and no good.

Adrian

I've just tried setting up a brand new contact and sending an email to this
one. and it worked. Does this mean all the contacts that were imported have
somehow been corrupted? Do I need to set them all up again. Just changing the
email address of the contact did not seem to make any difference.

Importing or synching is never the correct way to transfer Outlook data. Do
you back up your data? Just find your most recent version of your Outlook
data file and open it in Outlook.

I would like to throw my two cents in here as well. I upgraded from Outlook
2003 to Outlook 2007/Vista. I exported the .pst file to the new computer to
get my info moved over.....the process was pretty smooth. Now if I try to
use my address book to send email to addresses, I believe that the "display
name" john smith ([email protected]) is preventing Outlook from allowing
the send. The email won't leave my outbox and it hangs. If I type
(e-mail address removed) into the "to" field it works fine. I beleive that this
IS an Outlook bug....I spent an hour on the phone with an AT&T tech and he
said he had never seen this before but agreed with my assessment. Do I now
need to go back through hundreds of contacts and change the display name to
just the email address?

Bunk. This is not a bug. This is end user error pure and simple. You are not
paying attention to this thread. The mere fact that you exported your data
is just more proof of what we have all posted here countless times and the
fact that you ignored it.
If you really want help, then state clearly what you did so we can tell you
what you did wrong and how to fix it.

Ok, since you are so fixated on user error here, why would my address book
work just fine in Outlook 2003 (previous home machine and current work
machine), but the same address book won't work on 2007? When everything else
has been eliminated, the answer remains. Everything else works, it is 2007
that is the new part.

One more time for the record......old machine (2003) exported outlook data
to .pst file......moved that file to the new machine and imported it.
Everything looked good (by the way, is the not the MS recommended method for
moving outlook data?).....emails were there, contact were there, calendar
events were there.

My address books have always had user name ([email protected])....That has
not changed (read my previous thread). Why is it only NOT working in outlook
2007? What more can I say? It seems like a cut and dry issue. It appears
that the only way to fix it is to open 100's of contacts and make the
"display name" field read as the email address only. I say bug!

Read the countless posts here on how you migrate data correctly to a new
installation. You never export or import. You never use Windows Easy
Transfer. You never rely on an in place upgrade.
You create a new Outlook profile from scratch, open your previous data file,
set it as your default, then configure the Outlook Address Book Service to
use your Contacts.

Ok, I hadn't read that anywhere previous to importing, but as soon as I tried
to sync my home address book to my Axim, I would have ended up with duplicate
contacts, or overwriting the file....this would have placed me right back

and placing the actual address on the display line, is there another
workaround?

Chris Morry

I would like to add to this discussion.

I am not an expert, only a user of Outlook since way back when.

I recently upgraded to Office Professional 2007/Vista as well. To be
perfectly frank, I don't even remember now which method I used to migrate
over my contacts. All I know is that it all worked fine for the first three
or four months.

Now I am experiencing the same problem described in this thread: when the
TO box contains a name in the format -- John Doe ([email protected]) --
the email ALMOST always sits in the outbox until I type in the address
manually. This is NOT consistent. Sometimes it will happen and sometimes it
won't. It also happens more often than not on a reply. In other words the
address has been placed not by me entering information into the TO box but by
Outlook plucking it from the incoming email, and still it sits in the outbox
until I manually enter the address.

I am also using syncing software. In my case I sync with my cell phone using
its own proprietary software (Nokia) and I sync with my Viewsonic PDA using
Sync Centre. That obviously complicates matters as either one or both could
be introducing a problem into my desktop and laptop contact databases.

Whatever the cause, it seems obvious to me as a user and not a technical
person that there is a need to address this problem within Outlook. Whether
"bug" is a dirty word in this community or not, this is apparently a problem
that is not going to go away on its own and it is also a problem that did not
exist in earlier versions of Outlook in my experience. Going back to the
former file (prior to upgrade to 2007) is not an option for the two reasons
already stated: that database is now way out of date; and secondly, if the
corruption is dude to syncing it will only happen again.

I hope that those responsible for updates of Office products are aware of
this problem and that it will be eliminated in subsequent updates.

where I am.....so, the question is, other than opening every email contact
and placing the actual address on the display line, is there another
workaround?

Read the countless posts here on how you migrate data correctly to a new
installation. You never export or import. You never use Windows Easy
Transfer. You never rely on an in place upgrade.
You create a new Outlook profile from scratch, open your previous data
file,
set it as your default, then configure the Outlook Address Book Service
to
use your Contacts.

Ok, since you are so fixated on user error here, why would my address
book
work just fine in Outlook 2003 (previous home machine and current work
machine), but the same address book won't work on 2007? When
everything
else
has been eliminated, the answer remains. Everything else works, it is
2007
that is the new part.

One more time for the record......old machine (2003) exported outlook
data
to .pst file......moved that file to the new machine and imported it.
Everything looked good (by the way, is the not the MS recommended
method
for
moving outlook data?).....emails were there, contact were there,
calendar
events were there.

My address books have always had user name
([email protected])....That
has
not changed (read my previous thread). Why is it only NOT working in
outlook
2007? What more can I say? It seems like a cut and dry issue. It
appears
that the only way to fix it is to open 100's of contacts and make the
"display name" field read as the email address only. I say bug!

:

Bunk. This is not a bug. This is end user error pure and simple. You
are
not
paying attention to this thread. The mere fact that you exported your
data
is just more proof of what we have all posted here countless times and
the
fact that you ignored it.
If you really want help, then state clearly what you did so we can
tell
you
what you did wrong and how to fix it.

I would like to throw my two cents in here as well. I upgraded from
Outlook
2003 to Outlook 2007/Vista. I exported the .pst file to the new
computer
to
get my info moved over.....the process was pretty smooth. Now if I
try
to
use my address book to send email to addresses, I believe that the
"display
name" john smith ([email protected]) is preventing Outlook from
allowing
the send. The email won't leave my outbox and it hangs. If I type
(e-mail address removed) into the "to" field it works fine. I beleive
that
this
IS an Outlook bug....I spent an hour on the phone with an AT&T tech
and
he
said he had never seen this before but agreed with my assessment.
Do I
now
need to go back through hundreds of contacts and change the display
name
to
just the email address?

:

Importing or synching is never the correct way to transfer Outlook
data.
Do
you back up your data? Just find your most recent version of your
Outlook
data file and open it in Outlook.

I've just tried setting up a brand new contact and sending an
email
to
this
one. and it worked. Does this mean all the contacts that were
imported
have
somehow been corrupted? Do I need to set them all up again. Just
changing
the
email address of the contact did not seem to make any difference.

:

It sounds like the email address is not resolving. Did you
import
your
contacts by any chance? Once you put the name in the TO field,
try
manually resolving it by pressing Alt+K.

Now I am experiencing the same problem described in this thread: when
the TO box contains a name in the format -- John Doe
([email protected]) -- the email ALMOST always sits in the outbox
until I type in the address manually. This is NOT consistent.
Sometimes it will happen and sometimes it won't. It also happens more
often than not on a reply. In other words the address has been placed
not by me entering information into the TO box but by Outlook
plucking it from the incoming email, and still it sits in the outbox
until I manually enter the address.

It sounds to me as thought the addresses in the contacts records are not
properly resolved.

Brian:

That may be so. As I said, I am not a technical person and don't know what
that means in terms of a solution. Whatever it means, simply IDing the
problem doesn't resolve it. Seems to me this thread has come full circle, as
that was the answer given to the original complaint/query from Adrian. So we
are not advancing much by returning to this diagnosis if there is no better
way of resolving the problem (no pun intended) permanently.

For each contact that doesn't appear, open that contact record and reenter a
character in the email address (for example, deleting the final "m" in
".com" and typing it in again. Save and close the contact. That should
correct the entry and it should appear in the address book.

Thanks Brian:

That is one solution all right. It works. I've tried it. You can also open
the Properties of the faulty address. I've noted in every case that there is
nothing visibly wrong with the Properties. When you then close it though, you
will be prompted whether or not to save the Properties. This seems strange,
since you haven't changed anything. But if you do save it, the address will
resolve correctly after that.

These are manual one-off solutions to a corruption of the Contacts file that
affects many of the individual Contacts within it. I still don't know what
has caused the corruption nor how to avoid it happening again. It would be
useful if there were a way to run a routine that cleans up all of these
errors automatically in one go.

Thanks for the advice.

I seem to recall the mention of a tool that might do the job, but I don't
recall its name. Perhaps one of the tools at http://www.outlook-stuff.com/
might help, like EditContacts or ChangeNames. You might also to visit
http://www.slipstick.com/addins/contacts.asp .

Thank you Brian:

I looked over these sites but didn't find the specific issue mentioned.
However some of the multi-purpose tools they advertise may well take care of
this kind of problem. I will look into it in greater detail when the problem
starts bugging me too much to continue the manual fixes. I had no idea there
were third party add-ons and improvements to Outlook like these. I guess the
market will always fill in where the original product developer neglects to
do so.

Cheers

I can't help with your issue, but I keyed on one of your statements that you
imported contacts from your PDA. Could you provide that method. I can't make
it happen.

Thanks
