Project Status - Archiving/Closing a Project

Dale - thanks for trying anyway. I've resorted to having the resource
"reject" the task, but then I ran into an error of the task not being able to
be rejected because of "non-working" time and/or "hours have been allocated
to this task". Any other thoughts?

Annette,
I have one resource that has several tasks on PWA that I don't see in the
project like you. I hope we get an answer.

I'm still wondering if anyone out there has an answer to why I still see a
project with a task (on the timesheet) when the project is 100% completed.

Is it possible that you are looking at "All Tasks" and not Current
Tasks in the Timesheet?

Hi Dale,

I too am trying to figure out how to close & archive projects on the server.
I've read several of your posts and have tried to access the link provided
but to no avail. There is a required User Name and Password. Can I get a
guest id or can you send me the info otherwise?

We followed the document that helped us hide completed projects from most
eyes while allowing a few to still view closed project details for reporting.

However, when using the Resource Allocation tables to resolve allocation
issues, we still "see" the closed project(s) referenced in project
professional 2003 client software...when trying to resolve allocations.

We of course want any closed project to be completely "non-impacting" on the
active project manager(s) work.

Thoughts on why the closed project still shows?

Our archving methodology is "home brewed" to work around Project Server's
lack of functionality to archive completed projects. Obviously the
methodology does not hide every single piece of information within Project
Server, since you have noted that the resource allocation information still
appears in the Resource Usage view in Microsoft Project Professional. If
this does not work for you, then your alternative is to archive your
completed projects in a separate Project Server instance. You can do this
manually, or you might consider using the Project Archive Tool, available at
the following URL:

http://projectmadeeasy.com/

I have not used this product, so I cannot comment on it or evaluate it,
however. Hope this helps.

Well, it helps to confirm that this is the best we can achieve at the moment.
Now we must decide what is best overall. It might be better to delete closed
projects from the server, so that PMs can do their work without all the
"noise" that closed projects bring. However, now the question is how do we
remove projects so that we have all the data saved some where. We know how to
archive word docs, etc...we can zip them. We can save old project files as
..mpp files or simply make the best ones templates. However, getting copies of
issue logs/risk logs will be difficult.

This is an old post, but I figure if someone does a search, it may be
worthwhile to write this out.

It sounds as if the timesheet was created when the task existed and hours
have been applied to it and the timesheet saved/submitted.

If the task and/or project was now deleted, the task still shows up in the
timesheet. The only way to remove is to enter 0 hours and save. Then, you
should be able to delete the line.
