recurring meetings with multiple resources

I have 5 employees who need to be in a recurring task (meeting).
I need all of them to be as resources for the task.
What is the best way to do this?

Shouldn't it look like this?

Meeting
Meeting 1 2Hours 0.25days
EmpA(25%),EmpB(25%),EmpC(25%),EmpD(25%),EmpE(25%)
Meeting 2 2Hours 0.25days
EmpA(25%),EmpB(25%),EmpC(25%),EmpD(25%),EmpE(25%)
Meeting 3 2Hours 0.25days
EmpA(25%),EmpB(25%),EmpC(25%),EmpD(25%),EmpE(25%)

So EmpA actually worked 25% of his time for Meeting 1 AND
the meeting lasted 2 hours which is equivalent to 0.25days. Right?

I can't seem to get it to look like this in Project. Am I heading
the right direction? Thank You.

j,

The most common way that I have seen meetings portrayed in MS Project is to
set up the task type as Fixed Duration (uncheck Effort Driven) for the exact
duration of the meetings (e.g., 2 hours), and then add resources (i.e.,
attendees). This is due to the fact that you usually assume that resources
are 100% allocated to meetings (i.e., they are physically attending the
meetings) and cannot split this time with other tasks. And, that adding
additional resources will not shorten the meeting ;>).

Hope this helps! :)

Hi J,

Welcome to this Microsoft Project newsgroup :)

I would set up the meeting via Insert/Recurring Task. I would then assign
resources at 0% (just as a marker) and allow local management to absorb the
odd 2hour in the recurring period. Beware of over-managing - Project will
allow the detail, but it's generally not worth the hassle to managing
accurately to 2 hours in recurring meeting, unless they are daily meetings!

Hope this helps - please let us know how you get on :)
