Resource Allocation: showing over/underallocated in hrs instead o

PM-E

Hello:

Newbie here. I was wondering how to create a an over/underallocated
resources report by hours (instead of using the default Project
Resource-Leveling functionality). For example: "Show me resources across
all projects that are currently allocated at 30 hrs or below AND resources
above 50"

Wanted to know how to go about getting the hours to use for my calculation.

Any help would be appreciated. TIA.

The problem is overallocation isn't measured in hours. Overallocation is an
instantaneous condition and a resource could be overallocated for 1 minute
during a 1 year project or they could be overallocated for hundreds of
hours. Overallocation occurs when a resource is booked to be in two places
at once. Fred works an 8 hour day. if I have Fred on Task A for 8 hours on
Monday and also on Task B for 8 hours on Monday, Fred is obviously
overallocated. But if I have Fred on Meeting A for Monday for 2 hours and
Meeting B for 2 hours on Monday, he is also showing overallocated.
What!?!?! How can that be? 2+2=4 hours booked, well under the 8 allowed!
Because Meeting A is from 0800-1000 and Meeting B is from 0930-1130. For
the 30 minutes between 0930 and 1000 he is booked to be in both places at
once, a peak allocation of 200%. And that's why you can't use only the
gross number of hours they are booked to determine overallocation, or even
the total hours booked versus the total hours available. It also matters
where those hours fall in time with respect to each other.

Hi Ed,

I'm afraid you can't filter the timescaled portion of the Resource Usage
view directly looking for a certain number of overallocated hours, but you
can add the Overallocation field to the timescaled portion of the view to see
how many hours per day (per week, per month etc.) the resource is
overallocated. (Right click over the timescaled portion of the view and
choose Overallocation from the shortcut menu.) You could then filter the
entire view using the filter "Overallocated Resources" to show just those
resources that Project marks as overallocated.

Hope this helps. Let us know how you get along.
