Resources have to re-enter dates in the Task View!!!

Masood

Hi everyone,

The Task view is setup for resources to enter Actual
Start/Finish dates and % Work Complete. It seems that
when a PM re-pubishes assignments or publishes projects
while resources are entering their updates somehow the
task view get refreshed and all the dates revert to NA,
i.e. resources have to re-enter their dates.

Please note that when the assignment were republished, the
overwriting option was unchecked. Has anyone experience
this issue? Any thoughts why this happen?

Thanks in advance, Masood

I think you folks may be using Microsoft Project incorrectly, based on a
flawed assumption about the menus used during the project communication
process. Here is how Microsoft Project and Project Web Access are used
correctly during the project communication life cycle:

1. Project manager creates a project plan with tasks, resources, and
assignments
2. PM saves the plan in the Project Server database (File - Save)
3. PM publishes the plan (Collaborate - Publish - All Information)
4. Assignment information appears on the Tasks page in Project Web Access
for every resource assigned to a task in the project
5. Resources enter the Actual Start date, estimated % Complete, and Actual
Start date on their tasks each week in PWA
6. Resources update their actuals to their PM by clicking the Update All
(or Update Selected Rows) button
7. PM's view each set of actuals on the Updates page in PWA
8. PM accepts or rejects each set of actuals and clicks the Update button
to send them to the project plan
9. Microsoft Project is opened automatically and the project plan is
updated with the actuals
10. PM saves the project plan to the Project Server database (File - Save)
11. PM publishes the latest information about the project and about task
assignments to PWA (Collaborate - Publish - All Information)
12. Resources report the next week, etc, etc.

The Project Manager DOES NOT click Collaborate - Publish - Republish
Assignments on any of the steps above. The Republish Assignments dialog box
is used for at least two specific situations:

1. A new project manager is taking over management of the entire project,
or of selected tasks in the project
2. The PM has entered actuals by hand into the project plan in Microsoft
Project, and now needs these actuals to show up in PWA on the Tasks page of
the affected resource

Am I reading you correctly that you folks are using Collaborate - Publish -
Republish Assignments when you should be using Collaborate - Publish - All
Information instead? You will probably need to ask each of your project
managers directly if they are using the Republish Assignments option to know
for sure. If this is the case, then using steps #1 - 12 above would
probably solve your problem. Let me know.
