Routing a document to other recipients

I'm having some trouble figuring out how the routing functionality works. I'm
using WinXP and Office 2003.

In Word, on the File menu, select Send, then Routing Recipient. I've tried
sending a large file (1.5Mb) to various participants for them to review but
the email jsut sits in my Outbox. I've received responses from those
participants that they've actually received the email and have reviewed the
doc but still the email is in my outbox. Whenever I click Send/Receive in
Outlook the progress dialog box comes up as normal and the process completed
but the email still sits in my outbox instead of in my Sent Items. When I
open the email from my Outbox and click Send again, then the recipient
receives anotehr email but sitll the email sits in my Outbox. So there's no
way of knowing if the email was sent, unless I ask that person if they have
it.

Also, when the email is sent to various participants one after another,
should the file that I get back from them show some sort of automatic
versioning? For example, if the first person has reviewed it the filename
ends with (1) and then the second person reviews it and the filename ends in
(2) and when it comes back to me to it ends in (3); eg. "filename(3).doc".

I ask this because I've been told that when they open the file to edit it, a
number in brackets follows the filename but this doesn't seem to follow any
particular sequence, ie the 1st reviewer opens the file and it appears as
filename(3).doc then the 2nd reviewers appears as filename(5).doc.

Can anyone please help with this?

Which version of Exchange server are you using?

The numbers in brackets may indicate that other copies of the attachment are
in the securetemp folder.

Diane,

We're using Exchange Server 2003 and Outlook 2003 SP1.

I was also thinking that the number in brackets relates to the amount of
times the user has opened the attachment from their email and this is stored
in a temp folder, and revises each time that file is opened. So are you
saying that number has nothing to do with how many people have reviewed and
updated the document?

The email with the 1.5Mb file is still sitting in my outbox. Why is that?

Looks like we are both thinking the same thing. :) I'm not sure as I don't
use routing a lot - but I do know the number is added to the temp copy each
time it's open.

The message in the outbox, provided it was actually sent, usually means it
can't find the folder it's supposed to be moved to after it's sent.

I thought that given the size of the attachment, perhaps it was just taking a
long time to send the email, but obviously it was sent. I'll just use the
option of "one after another" and use tracking changes when routing as this
ensures that only one person gets the document to update, so no confusion as
to who made what changes.
