Rule For Entourage 2004

I am new to Entourage and would like to create a rule that does the
following...I notice that all outbound mail from my account winds up in
the "sent mail" folder. What I would like is to create a folder for
each month which has a copy of the outbond mail. Basically I want a
record of all outbond mail organized in folder which is called January
'05 and so on...I would change the rule monthly as I create new
folders.

If this is possible could someone post a sample rule which would do the above.

Just create an 'outgoing' mail rule with selection criteria 'all mail' and
action 'move message'.

It would probably be as easy to manually move the mail from the 'sent mail'
folder once a month.

Barry,

I don't see how to create this...there is no criteria...for which the
criteria is "all mail"...what am I missing?

Tools/Rules/OUTGOING RULES/New.

Just leave the single criterion (the "IF") at "All messages" - which it
already is by default, and set the second Action (the "Then") to "Move
message" to "January 05". When February 1 arrives, remember to go back to
the rule and change the action to move the message to "February 05" folder.

I'd suggest that you make a new Task to be a recurring Task for Day 1 of
every month, with a reminder at midnight to remind yourself to change the
rule to the new month's folder. When you do that at 8 AM or whenever, you
might have to move a few messages you got since midnight form the old month
folder to the new one.

Paul,

I believe I set it up as you directed....and sent a test
message....the message went out...but the copy is still in sent
mail....not in the January '05 folder.. :(

I am running MAC OSX 10.3.7 with my Powerbook G4 and have set a few rules
(about 12) to set criteria and then move certain messages from specific
domains to specific folder. Some of these work as intended but some
peristenly do not follow the rules. I have tried this to correct it: I
eliminated these, restarted the MAC, then restated the rule and added it to
the list. For a few days Entourage might follow the "new" rule but without
announcing would fall back to the old behavior of leaving them in the Inbox.
The check box is for all rules enabled.
What could I have missed?

I actually gave up on using rules in Entourage 2004. After having had no
problems with the same exact set of rules that worked fine in Entourage v.X,
when I upgraded to 2004 the same rules stopped working. I spent weeks trying
to figure them out, with no success. I am convinced now there is a major
flaw in the rules portion of E2004.

My thanks to the responder "NWFriend".
His/her response indicates to me, that the MS Entourage team carried the
problems from Entourage V.10.1.6 over into Entourage2004. Great work!

Let me then add to my help question this: Is there a MAC OSX compatible
e-mail program with filtering capability on the market that is sound and
solid and has been thoroughly tested? Has anybody a suggestion?

Dear 'Incognito'

I was one who tried to help "NWFriend" but with no result. The thing is that
I have not been able to duplicate the behaviour he reported. All the Rules
work as expected on my system (G4 1Mhz, 10.3.7, Office 11.1), consistently
over long periods. I even changed some of my Rules (I have about 8) to be
the same as he reported and they all work reliably.

This indicates to me that there is something in his (and perhaps your) setup
that is causing some conflict in Entourage's operations. Without sitting
beside you to examine everything you have running it is hard to diagnose the
problem and I don't have enough computer knowledge to suggest where the
conflicts might be.

I guess this is but a gentle way of saying pause and consider before blaming
Microsoft. As for solutions, the only way I can see is to run Office on a
'base bones' system as Apple shipped it and see what happens, and
incrementally add stuff back in. Tedious but sometimes the only way.

However, I hope others may have better solutions for you.

Your comments are much appreciated! You might indeed be right with your
assessment and I readily apologize for having jumped too fast to an
erroneous conclusion regarding MS and perhaps others involved with MS Office
and the associated problem solving.

I stumbled upon a reference to Mailing List Manager while continuing to
search for a solution to why my rules were no longer working after upgrading
to E2004. I found the answer!
Somehow, I had several Mailing List Manager rules active - which I do not
recall consciously creating and don't really need. However, the article said
that these can interfere with rules. So I deleted the MLM rules. Then I
created some new rules. Voilà...my new rules worked!
Hope this helps someone else.

I¹m having a similar problem. The junk mail filter is not working at all.
I have set up rules that do similar things but they don¹t run on incoming
messages. If I select all messages in the INBOX, I can ³Run Rules² one at a
time and they do what they are supposed to do but if I run them ³All²
nothing happens.

The first rule changes the status of a message to ³junk² if the sender is
not in the address book - this is the first rule to run and I do not have a
check in the box ³Do not apply other rules.²

The next rule moves messages marked as junk the the ³Junk e-mail folder.²

Obviously, I wouldn¹t need these rules if the Junk mail filter was working.
I have it set to ³Exclusive² - I don¹t have any ³safe domains² listed and
nothing in the Mailing list manager.

I too think there is a problem with the program.

You seem to have two types of Junk e-mail filtering going - one based on
Rules and one based on the "exclusive" Junk e-mail protection feature. Try
using one or the other - not both.
