update 11.5.0 copy & paste loses formatting of characters

If I copy a few words from a Word 2004 document to another, the
formats of character are lost. It seems Word uses the defined styles
in the template (e.g. normal.dot). Can anybody reproduce that? Any
solutions?

Thanks a lot.

Yes, we can all reproduce that. That's the way it is supposed to work.

Go to Word>Preferences>Edit and check "Show paste options buttons" in your
Cut and Paste section.

Then you will get the option to choose what you want Word do do each time
you paste. Also adjust your Smart Cut and Paste Settings to determine what
will happen by default.

Note: It uses the styles defined in the DOCUMENT, not the Template. All
styles in the template are copied to the document when you create a new
document. After that, the styles in the document are used. A document
makes no further reference to its template for styles unless you force it.

Hope this helps

the paste options are "keep fomatting" (sorry, I don't know the
exactly phrase of the English- Version) I've checked it.

But the pasted character has not the same formatting like the copied
has (e.g. fonttype).

Sorry for my unclear question and thanks for your help.

What is the origin of the document you're copying from? If it's one that was
created elsewhere it may actually use one or more fonts which you do not
have installed. If that's the case, the pasted text may very well take on
the font currently used in the area you're pasting into.

In the source document go to Word> Preferences> Compatibility, click the
Font Substitution button & see what happens.

unfortunately, the fonts are not the problem. The copied words are in
Arial, the pasted are shown in Times New Roman.
I can copying only the formatting in a second step, that works. But
the collegues doesn't find my 2-step copying solution funny.

Hi Lars:

When you "Copy" you will copy the text, the direct formatting, and the Style
formatting.

When you "Paste", the text will come in, and so will the direct formatting.
But the style formatting will normally come from the destination document.

If you have a paragraph in Normal Style and you COPY, if Normal Style is set
to Arial in the source and TNR in the Destination, you will get TNR (because
there was no direct formatting in the source document, and the target
document has direct formatting overriding the style.

If you either ensure that all the styles match between the two documents, or
you re-name the styles in one of the documents, before you copy, then the
problem will not occur. (If you ARE using Normal style, you can't re-name
it, so use a different style.)

Hope this helps

Thanks for your help. John has the point.
I'm not sure, if there came a modification with the update. In our
office everybody says the hole formatting of a chacter was copying.
The documentation is nearly unclear in that question. I can't find a
note, that predefined formattings will not paste.

That happens also in Office 2008 and Office 2007?

In 2004 you can use copy command (Command-C)

But then you can go to edit menu click and hold a paste , look for paste
special and one of the choices is under paste special is text only. when
you did that it would paste the words bur then take on formatting
original text in the current document. Can you not do this in 2008.

Hi Lars:

The rule is actually quite complex, and it's not in the Help on the Mac.

1) If you copy less than 50 per cent of the text in a paragraph, the
Character formatting is copied but not the paragraph formatting.

2) If you copy more, or your selection includes a paragraph mark, all
formatting is copied.

3) When you paste, what happens depends on how you paste, and how the
destination copy of Word is configured.

Hope this helps
