Using the booking type

In 2003, when you assign a resource to a project, you can make them proposed.
When you publish the assignments for that project, the assignments for that
proposed resource are not published. In other words, the resource won't see
them in his task list. However, in the resource allocation view in PWA, there
is a checkbox that says "Include Proposed Postings". I assume that, even
though the proposed bookings aren't showing up in task lists, they're still
in the server and should be able to see them here. However, in experimenting
with this, I don't see any change in the information shown here when
clicking that box and not. The resource has both types of bookings in
schedules that have been published. Is there something I'm missing? Is there
a setting somewhere that needs to be set?

In the future, please post your Project Server questions in the
microsoft.public.project.server newsgroup, as this newsgroup is going to
close down. To answer your question, I believe you are referring to the
Build Team from Enterprise dialog in Microsoft Project Professional. The
"Include proposed bookings..." option is used in conjunction with the
Available to Work filter option.

For example, Mickey Cobb is set as a Proposed resource on Project A, and is
assigned to perform 80 hours of Work during the weeks of December 11 and 18.
I am a PM and am creating a new project called Project B. In the Build Team
from Enterprise dialog, I set the Available to Work value to 80 hours and
set the From date to December 11 and the To date to December 24, spanning
the time period during which Mickey Cobb is assigned as a Proposed resource
to work 80 hours. When I click the Apply Filter button, Mickey Cobb shows
up on the list of available resources, even though she is assigned to work
full-time in another project during that time period. This is because her
booking type is Proposed on Project B. When I select the "Include proposed
bookings..." option and click the Apply Filter button again, Mickey Cobb no
longer shows on the list of available resources. This is because the filter
now takes into account her Proposed booking hours in the other project.
That's how that option works. Hope this helps.

Thanks for the heads up on the new newsgroups. I've reset my bookmarks. Also,
thanks for the response. It was helpful, but not what I was looking for. To
see what I'm talking about, you open Web Access, click on the Resources tab,
highlight a resource(s) in the list, click on View Availability and then
click on View Options. In View Optons there is a "Include Proposed Bookings"
checkbox. According to the documentation I've read, proposed bookings aren't
posted to the web, so what does this checkbox do? I've published projects
with both types of bookings for a particular resource. When I've looked at
that resource in this view, clicking that checkbox doesn't seem to do
anything. Is there some setting I'm missing. In your book, "Managing
Enterprise Projects", on page 343, you briefly mention this checkbox, but
don't go into any detail.

I was able to confirm that the option does work as designed. Here's what I
did to confirm this:

1. I created a sample project with 9 tasks
2. I built a project team with 3 resources, set Resource B to Proposed, and
left the other two as Committed
3. I assigned each resource to 3 tasks
4. I saved the project and then published the project using Collaborate -
Publish - All Information
5. I rebuilt the OLAP cube (an important step in this process, so that it
picks up the Proposed booking for Resource B)
6. I navigated to the Resource Center, selected Resource B and clicked the
View Availability button
7. I selected the Assignment Work by Resource view
8. I set the Date Range to include the dates that Resource B is assigned to
the sample project and clicked the Set Dates button
9. When the "Include Proposed Booking" option is deselected, the view DOES
NOT show Resource B's work in the sample project
10. When I select the "Include Proposed Booking" option, the view DOES show
Resource B's work in the sample project

Can you confirm that you have done step #5 above since setting the resource
as a Proposed resource? Also, we are running Project Server SP2 on our
system. Hope this helps.
