Work hours displayed

Fredo

my question is that i am putting together in ms project a report in a way to
display task information (task=job) and also to display on tracking chart how
long that job will go on for and also was trying if possible to get a
resource graph to print out on same page to show hours used in each quarter,
i cant seem to get the graph to show these hours or to have a 11x17 piece of
paper display both the tracking chart and the graph together any ideas?
Also very new to most of the advance functions of project really only use to
using a timeline setup so anything that would help would be greatly
appriciated.

Freda,
You should be able to at least get close to what you want but it will
take a little work. First, Project is not set up to show multiple forms
of information in a single view. The closest you can get is with a split
screen but that won't print on a single page unless, the paper is run
through the printer in two passes. Even then, it would take some playing
to get the hardcopy output you want. Second, the only graph directly
available as a Project view is a Resource Graph. Although single or
multiple resource hours can be shown in any timeframe desired (e.g.
quarterly), it must be done from a resource based view (e.g. Resource
Usage).

You probably could copy a Resource Graph and paste it unto the Tracking
Gantt view and then print but it will again take some finiggling to get
everything lined up and made readable.

There are probably other ways to generate the combined view you want -
it's just a matter of how much time you want to spend setting it up. If
I were doing it, I would probably write a custom VBA macro to export the
data to another application (e.g. Excel, PowerPoint, etc.) but then
that's not a viable solution for everyone.

John,
thank you. i see that my request is going to take some time, but i had one
more question in that, since i am rather new to this program. i have my
project setup to display a bunch of custimized feilds as just a reference to
each task mostly all custom text and cost feilds but what i am trying to show
on the graph and on the actual tracking grantt is two different things. i
want to show progress of each task on the tracking view and hours spent on
each quater as i have my calendar setup for quarters. i have yet to figure
out how i can come across doing this as when i try to resource an man hours
feild it thorws overallocated and allocated sections on the graph at me any
ideas of what settings needs to be changed?

Freda,
It's not clear whether you want to synchronize the Gantt display with
the graph display or not, but either way, I suggest you just concentrate
on getting the information you want and then doing two separate
printouts.

The reason resources are showing overallocation is twofold. First, the
resource (or selected resources) are being assigned to perform more work
than they can based on their work calendar. Second, the default for the
Resource Graph is to show both allocated and overallocated bars - it
makes it easier to see where the allocation problems are in time. If you
don't want resources to be overallocated, you will need to either
manually adjust resource assignments, or use the leveling feature of
Project to eliminate overallocation. It all depends on your end goal.
Normally that should be a schedule that is workable - that is, enough
resources assigned to the right tasks so the project plan is completed
successfully.

I don't know if I answered your question, but then I'm not real sure I
understand what you are asking.
