Yearbook for Elementary School

The Principal of my children's grade school has asked me to put together a
yearbook/annual for the K-6th grades. Does anyone have experience doing
this using Microsoft Publisher? I've got versions 2000 and 2002 but didn't
find any kind of ready-made templates that I could customize. The booklet
will be 48 pages, printed back-to-back with black ink and saddlestitched. I
will be doing all the layout and then taking the file to the commercial
printer to print out and assemble the booklets.

This past summer, I created a children's theater program that had pictures
of the kids along with their name and character they played under their
picture; it also had advertisements from local businesses. Biographies were
also included in another section of the program. I've made tables in Word
and inserted pictures in the cells and that turned out very nice. When I
tried using tables in Publisher 2000, I wasn't able to get as specific as
to the size of the cells like I could in Word. What I ended up doing for
the theater program was creating the majority of it in Publisher and then
linking Word files that had the photos, names & characters (set up like a
contact sheet or index print).

Anyway, what would you suggest as the way to go about setting up this
project? There are over 300 kids and faculty to work with. I'm beginning
to wonder why I said 'Yes'.

If you want to have your file professionally printed, Publisher 2003 is the
way to go.
Set up a database with the names, the paths of the photos (e.g.
c:\Yearbook\Class Name\Pupil Name.PNG), and any other information you want
to use, and then use the Catalog Merge in Publisher 2003 to import all the
information in.

There is also this wonderful freeware program that will list all the picture
files in a folder and allow you to copy the results into a database to merge
the pictures in Publisher 2003.

A 48 booklet saddle stitched in Publisher 2003 is a no issue job really.
Make sure you setup your page correctly for BookFold/Booklet.

Just post back here for any help you may need.

I always recommend you type up all the text by article in separate files in
another program without any formatting. You then import the text into
Publisher when and where you want it, and you have the security of having
the text in other files. If you want to delete some text in your booklet
because you decide you want it elsewhere, you can just delete it and import
it back later because you have it in that other container file.
Using Publisher as a word processor is the worst mistake new comers to
book/booklet publishing make.

I checked the website regarding the freeware program "File List Generator"
but I'm not sure what it does... I need to have the students sorted by
grade level and their pictures were named with their student ID's which are
in NO sort of order.

Kory what "File List Generator" does, is to collect up all the picture file
names in a folder and put it into a CSV file.

You will need to sort the names into Student ID number, then open that in a
spreadsheet or something like the Works database, and copy and paste the
list from the "File List Generator" into an extra column.

If you don't have the student ID's with the names of the students in a
database, then you will have to manually add/type them in.

If you have a database with the student names in with the Student ID, it
will be a no brainer. Make sure the picture files in the folder are sorted
by student ID.

If you are really stuck, you can e-mail me the "File List Generator" file,
and the database in CSV format, and I will merge them together for you all
ready to bring into Publisher 2003.

I cannot find a reference to a "Catalog Merge" in version 2002 of Publisher.
Is it called "Directory" in version 2002?
Also, I am having a problem figuring out how to list the path of where the
photos are when there are over 300 .jpg images in the folder. Sorry I'm not
"getting this". Merging text has been no problem for me, but merging with
pictures is not sinking in.

I've got version 2002 of Publisher, not version 2003.
I cannot figure out how to merge the photos in the order I need.
I need the morning Kindergarten teacher and kids on one page, the afternoon
Kindergarten teacher and kids on the next page, then the 1st graders from
teacher X on next page and then the 1st graders from teacher Y on another
page all the way through 6th grade (each grade has 2 different classrooms).
Would it work better to do the merge in Word and then link that file to the
Publisher file?

There is no Catalog Merge in Publisher 2002. You require Publisher 2003 to
perform a catalog merge.

I would create separate tables within your database (or separate databases,
if your database doesn't support multiple tables) for each group of kids,
merge each page individually and then combine the files using copy/paste
(which shouldn't be a problem if each group is one page only).

No, that would create hell.

When I do the "show merge results" it just shows the name of the image
file, not the actual picture. How do I correct this?

As I have said at least 3 times, you *will not see images in Publisher 2002*
**Only Publisher 2003 supports the merging of images**
And as you have already said that buying Publisher 2003 is not an option,
you will not be able to do this automatically.
