All,
In assigning resources to my project (I’m using MS Project 2000), I would
like to group resources that also have individual jobs assigned to them. For
example, Tom, Dick and Harry in the “sales†department have their own tasks
to do, but also need to get together in a workshop (maybe together with a
dozen others from “back officeâ€, “engineering†and “managementâ€), in order to
keep abreast with their colleagues’ status, progress etc.
How do I now assign specific tasks (this workshop) to a group (“salesâ€,
“back officeâ€, “engineering†or “managementâ€), such that those tasks will
actually show up in the resource usage graph for each individual staff member
that is part of that group?
One step further still, could I also assign staff members to multiple
groups? For example, each department may only have one staff member at each
location A, B and C. Now at each location, I want people to regularly meet up
with each other, irrespective of their profession. Could I therefore assign
one staff member of “salesâ€, “back officeâ€, “engineering†or “managementâ€
each, to location A, B and C, and then assign a task (weekly meeting) to
everyone in those respective locations?
So, I’d like to assign a weekly meeting to all staff in location A, so Tom
and his “back officeâ€, “engineering†and “management†colleagues at that
particular location, and I’d like to assign a weekly meeting to everybody in
“salesâ€, so Tom, Dick and Harry, across different locations.
Since there may be far more departments, which may also be much bigger and
across more locations than in my above example, more permutations and
combinations will have to be possible. Therefore, I don’t want to manually
select the people that need to be present during each of the meetings, but
instead would like to assign the tasks to everyone in a particular group.
It’s like grouping staff in e-mail groups in MS Outlook, and just sending
one mail to such a group. Everyone can be part of an unlimited number of
groups and everyone in such group will receive the same e-mail. I’m sure this
is not an uncommon request, but I can’t find anything in MS Projects that
will actually do the trick.
Who could advise me how to do this?
