Filter for multiple resources?

C

Christa

Hello, glad to find this board.

I am trying to display a few kinds of tasks in the calendar view: one
resource plus some milestones that have no resource assigned to it (such as
client submissions, client feedback expected, etc). The goal is to have a
calendar for each resource that shows their own tasks PLUS some major common
milestones. Applying the "Using Resrouce" filter does almost what i want but
I don't know how get the client submission milestones on there. I was
thinking I could create a new resource called "submissions" and then try to
filter for 2 resources in calendar view, but I can't see how to filter for
more than one resource. (Actually for a different purpose I would like to be
able to filter for more than one resource - would that be done using resource
groups??)

There might be something useful in reports but since I don't have a printer
connection this function is not available to me. Also, I'm running Project
through Virtual PC on a Mac (creative company!!) and there are many inherent
printing problems.

Any suggestions to filter either by multiple resources OR showing a resource
+ certain other tasks?

Many thanks,
Christa

Hi Christa,

We're glad you found us too!

To filter for multiple resources you could create a custom filter:

Project > Filtered for > More Filters to show the More Filters dialog box.
Click the New... button to show the Filter Definition dialog box.
Name the filter (I'll use "Multiple Resources" in this example)
Check off Show in menu.

First Row:
Field Name: Resource Names
Test: Contains
Value: type in the resource's name. ** See below for information on
interactive filters.

Second Row
And/Or: Or
Field Name: Resource Names
Test: Contains
Value: type in the resource's name.

Click OK to save the filter, close the Filter Definition dialog box, return
to the More Filters dialog box.

** To create an interactive filter (one that pops up a dialog box and lets
you select the resource's name instead of hard coding a resource's name in
the filter:
Replace the Value with "What resource name?"?
Note: the text must be entered in as a double quote, text for the prompt,
close double quote, and a ? outside the close double quote.

To filter both for specific resources and for the "major milestones" you
want.

You could add the Contact field to the left side (Table) of the Gantt chart
and type the name of the responsible person in the contact field. Then
modify the Multiple Resource filter noted above and add:

Third Row
And/Or: Or
Field Name: Contact
Test: Contains
Value: Use the interactive prompt or type in the contact's name.

This filter will show task with either resource assigned or the contact you
are seeking.

Hope this helps. Let us know how you get along.

Wow, Julie, that totally worked. I was able to get what I needed with your
first suggestion, so I didn't try the second, but just reading it it makes a
lot of sense and I sure understand a lot more about the power of Filters now.
I had tried to use them before but got stuck at the "values" field when
nothing in the combo box looked recognizable, didn't know you could type
things in directly. So following your instructions was a godsend. THANK YOU!!!
