How do you determine the number of actual hours worked per day

Dan Ross

How can a functional manager determine the "actual hours
worked" that his staff is entering? In other words, a
functional manager wants to confirm that each of his staff
have entered at least 40 hours per week of actual work,
and his staff are assigned to a variety of projects for
which the functional manager is not the project manager.

Has the functional manager tried the View resource assignments page of the
Resource Center of Project Web Access? The manager should select the
Timesheet format option and the Current assignments option as well. The
manager should also make sure that the data in the grid is grouped by
Resource and then by Project. I believe this would meet the functional
manager's reporting requirements. If you are using Project Server 2003, the
functional manager could also use the View timesheet summary page in the
Resource Center. Either of these options should meet your functional
manager's requirements. Hope this helps.

Dale,

Again thanks for your timely response. As an experiment,
I tried you suggestion, but unfortunately I am the admin
on the system so it shows me all the assignments. It took
about 3 min's to generate the data. The fields displayed
were: Task Name, Submitted on, Project, Work, Remaining
Work, Start, Finish, % /Work Complete, Resource Name, and
Status. I did not see "actual work" displayed. I tried to
create a custom view for assignment to show "actual work",
but that did not work either. I thought about using
Portfolio Analyzer, but the data may not be in synch.
Plus in some experimenting on trying to look at
earlier "actual work" with the Portfolio Analyzer
capability, the Portfolio Analyzer results did not appear
to match what the resource actually submitted via his
timesheet. Any thoughts on this?

Dan

The Actual Work values can be seen in the timesheet on the right side of the
screen. Did you display the timesheet on the View resouce assignments page?
What method of tracking progress are you using? Are you using Project
Server 2002 or 2003?

The Actual Work values in the Portfolio Analyzer may be out of synch with
what is found in the actual project plan because the PM has not published
the latest changes in the project plan using Collaborate - Publish - Project
Plan and then clicking OK. The Portfolio Analyzer only displays information
that has been published. Hope this helps.

Dale,

We are currently on Project Server 2002. Staff members
are asked to record at least 8 hours a day on project
tasks using the web access. Again thanks for your help.
I am leaving for today, but I will recheck on Monday.

You didn't answer my most important question: Did you apply the Timesheet
format to the View resource assignments page? Can you see any Actual Work
values in the timesheet portion of the page?

D

Dan Ross

Dale,

Yes, the Show assignments using Timesheet format is
selected. The columns of information that are being
displayed are "Resource Name, Task Name, Start, and
Finish".

Thanks...Dan

What do you see in the timesheet portion of the page? I'm not talking about
the columns on the left side of the page, but the actual timesheet itself on
the right side of the page? Can you see any Actual Work values in the
timesheet on the days they were entered? Let me know.

Dale,

I am not seeing the timesheet sheet view. I am seeing the
columns I mentioned in my earlier note. Actual Work is
not showing up.

On the far right edge of the screen, you should find a vertical split bar
that separates the task list on the left from the timesheet on the right.
You may have pushed that split bar to the edge one time and forgot it was
there. Grab the split bar and pull it back to the left. Then you should be
able to see the Actual Work values in the timesheet.

Dale,

Bingo! That solved it. Thanks very much for your patient
on this. While I have your attention, I assume that you
control whose assignments one can view via the security
model using RBS?

Also, it you have time can you take another look at my
other question I posted concerning setting remaining work
to zero. I posted a reply to your suggestion on that one.

Thanks again,

Dan

The RBS field and Categories control what a user can see in Project Web
Access and in Microsoft Project Professional. For more information about
the RBS field and how it works in conjunction with Categories in PWA, refer
to the following link:

Hope this helps. And thank you for your kind compliment about my patience.
Experience has taught me that patience gains me more friends than
impatience. :)
