Inserting a Word Doc.

Hi to all, I am having a problem when I go to Insert=files from Outline and pick a word doc. sometimes it comes over just fine and sometimes only half of the Document comes over any ideas why? I use PP 2002 XP, thanks

Alice,
Only the text that has a header style between one and five applied will be
transferred to PowerPoint. The other text is not copied over. Does that
explain any of what is happening?

Geetesh Bajaj, Yes, I went to the web site you suggested and did the exercise. The first one they wanted me to do is just the thing I like and want. But they said it is not the correct way to do it. My word doc. (are church songs) so I would need them plain and no bullets. So still my question is why do some of my doc. come over fine and some only half the doc. shows up. Thanks for the reply, I am learning all the time.

Thanks again Kathy for your reply, It doesnt help much because I dont know that part of the program. But I am trying to learn. Our music minister from church sends me over the Word Doc. that are just song lyrics. He must be doing something when he works them up for them to act up as they are doing. Can I go to them and change something? thanks

Try this on one of your lyric sets:

1. Open Word and open the document.
2. Select/highlight the title of the lyric .
3. Go to Styles and Formatting
4. Select Heading 1
5. Now select the body of the lyric.
6. Go to Styles and Formatting
7. Select Heading 2
8. Save the file
9. Go to File > Send to Microsoft PowerPoint

The PowerPoint window should open. Does the outline and the slide look the
way you want?

Follow Sonia's steps.

The reason only part of the doc comes through is because anything formatted as "normal" style in Word doesn't transfer to PPT.

You have to use Heading 1 in Word for Titles in PPT, Heading 2 in Word for Primary Bullets in PPT, Heading 3 in Word for Secondary Bullets in PPT, etc.

Yes, it's an example to show you what happens if you don't use the Header styles in Word. Even though that's what you like and want, it won't transfer properly to PPT.

Read the rest of Geetesh's article to understand about how to use the Heading styles in Word so that your document transfers properly.

Your PPT template will determine if the words have bullets or not. Just set up the heading styles in Word as described, and then in PPT set your master slide to have no bullets on the placeholder textbox.

Thanks to all I have it perfect now. Our music minister was working them up the wrong way and that is why I was having problems with it when I inserted the Doc. into PP. This has helped me lots. Thanks again

Alice, this information was all helpful to me too. I am trying to do the
same thing. I marked my titles and text with Heading 1 and 2, then did SEND
TO PPT. It was great! But have you figured out how to insert a new slide
between verses? My chorus and 3 verses are all on slide one - overflowing
the margins of course.

If you want to put a new slide between the slides when you export from
word to ppt - you simple have a blank heading with no writing on it in
word - then you will have a blank slide. One of the mistakes that I make
is the any plain body or normal TEXT IN WORD WILL not BE SENT OVER. THE
WORD DOCUMENT WOULD look like this Heading1 text
heading2 text
heading2 text
Heading1 blank
Heading1 text
heading2 text

You will get about 5 of 6 lines in the sub text holder & then the text
will have to be attended to - to make it fit or flow onto the next slide

In the same way if you wanted the sub-place holder just to have text &
nothing in the title place holder
Heading1 blank
heading2 text
heading2 text

You could have several lines flowing together but for words of a song
each line would be on its own line & so would have its own heading2 format

I'm only new at this but I use it every week for messages.
