I cannot get Spotlight to work with Entourage. I have checked the box
in Entourage preferences to include Entourage items in Spotlight
results. I rebuilt the database but emails don't show up in Spotlight
search results. I have a hosted Exchange email account.

Any thoughts

Have you got the option to display Mail items turned on in the spotlight
prefs? This setting affects Entourage items as well as Mail, app items - they
both share the same Spotlight 'type'.

If this is turned on already, can you check to see if spotlight cache files
are being generated here:
~/Library/Caches/Metadata/Microsoft/Entourage/
(Where '~' is your Home folder).

Please report back.

Thank you for your response. The Mail option is checked in spotlight
and Entourage files are indeed being generated. But my emails do not
show up in spotlight search results.

That is most peculiar - do you have ~/Library included in the 'privacy'
section of the Spotlight control panel? This would prevent indexing of the
cache files.

If the cache files are being generated, Entourage is doing the right thing
(can you double-click on an item to open it?). Some other setting in
Spotlight must be preventing the indexing from working (or, you just need to
wait a while for indexing to complete - this can take a while if the mac is
busy)

The cache files are not included in Spotlight privacy and I can open
an item to open it in the cache.

Only Apple Mail emails show up in Spotlight search results.

Only Apple Mail emails show up in Spotlight search results.

This thread is getting long and confusing. Just to be sure....

In System Preferences do you have Mail Messages ˆ ?

Thank you for your response. The answer is yes to both questions but
I still don't see Entourage emails in Spotlight search results.

One thing that hasn't been mentioned.

Is the Entourage Database Daemon (Office Notifications) turned on? Spotlight
will index any cache files the Entourage daemon has created even if the
daemon is not launched, but no new cache files will be created until the
daemon is launched again. If the Microsoft Sync daemon never launches,
there's no way for Entourage to sync data with Sync Services. The
preferences in Entourage for Sync Services basically control 1) if this
daemon app is launched and 2) where it should sync data to-from.

How do I launch Entourage Database Daemon?

If you have Notifications turned on, it launches the daemon. Look under
Entourage in the menu bar to turn on Notifications.

Some people do no like Notifications so have it turned off. The daemon is
tied to Notifications. It's like they are one and the same. The daemon also
run the verify database in the background.

Note. You should only have one Microsoft Database daemon in Login/Startup
Items. If you have more than one delete all and let Entourage create a new
one when launched. Having multiple daemons can cause crashes.

Diane: Did you reply? I see a message 13 but cannot open it?

Yes, here it is again:

Notifications are on (and have been on) and I have only one MS
Database daemon in login/startup. Still no Entourage emails appear in
Spotlight search results.

I'm stumped. Try testing in a new User. Open System Preferences and create a
new User. Open Entourage and add a few messages and contacts for testing
purposes. Does Spotlight work there?

Just to be sure...look over this list again:

<http://www.entourage.mvps.org/troubleshoot/syncservices.html#ss1>

The last one Include Entourage item in search results" checked in the
Entourage Preferences, I don't remember if this was checked or not for you.

I just updated to OS Tiger (from Panther) a couple of weeks ago. I'm not
seeing the Spotlight option in Preferences. I'm looking under the General
preferences and don't see anything referring to Spotlight. Not sure
what/where I'm missing it.

Spotlight is global, not local to Office components. Look in the System
Preferences (found in the "Apple" menu).

Quit any Office applications and try re-applying the 11.3.5 combo updater
for Microsoft Office 2004. This should make the Spotlight option appear in
Entourage's preferences.
