Printing the calendar view

Is there a way to overcome the overflow page when you print a sorted,
filtered calendar view? Is there a way to make the calendar blocks print
larger, even if it causes that month to print on two pages?

Hi mdoster,

Sorry,no. As you have discovered, the Calendar view is very
limited as far as printing.

Hi mdoster,

You can do better than the default. You can increase the height of each row by click-and-drag the boundary between the weeks or days. This alone might show all your tasks with no overflow. If that doesn't work, you can decrease the font sizes and the bar sizes through Format Bar/Font styles. However there will be a limit to readability. Post back for more detailed info if you need it.

Sigh! Right now, I can't even get it to show the tasks. Here's what I'm
trying to do... I have to teach a lot of "resources" how to use what we have
set up. So I'm trying to make it as easy as possible for then, by giving them
clean steps to access only their tasks for a given date range. I can show
them how to do it with a gantt chart and print it out (1- sort by start date,
2- filter by "using resources within date range" and printing). But how do I
get the same info (with the summaries AND their respective tasks for a date
range) on a calendar? Last week, I thought i had it, but it isn't working
the same way today. I, being a novice with this "not-even-close-to-intuitive"
program, am perplexed at what to do now.

Also, I don't know anything much about macros, but is there a way to set up
a macro for each resource that would allow to them to print out just their
stuff (very easily)?

Thanks in advance for your assistance to this very-challenged person!

Thanks so much! I'd love to take training, but my company will not pay for
it, and i can't afford to on my own. So I'm having to learn from the seat of
my pants. I thought was technologically pretty good for a
non-programmer/computer "geek". But MS Project has put me firmly in my place.
I feel the way my 76-year-old mom must have felt when i tried to teach her
to use a mouse and to understand email! :)

You ROCK, dude! How many years have you been a computer "geek?"

Say, I have a question. I read all the macro stuff and worked to set one up
- pretty cool! However, I have hit a roadblock. I'm trying to set a macro
button up for each resource to use to pull up their tasks for any given time
period. But as I'm '"recording" I can't figure out how to stop recording in
the middle of the "Using Resource in Date Range" so that they could manually
add in the dates the would need. The date range would not be a constant.
Advice?

Hi mdoster,

It would take more than a macro to be able to input data into the
code. You'd need to open a input box and then set the value of
the variables in the input box.

More coding than recording I'm afraid. However, you might
consider setting up a view for each resource that has the Using
Resource in Date Range filter automatically applied.

Apply the Calendar view and choose View > More Views in the menu
to open the More views dialog box. Select the Calendar view and
copy. In the View definition dialog, rename the view and select
the "Using Resource in Date Range" filter from the drop-down.

Then copy and rename the view multiple times. You can then just
show your resources how to easily switch view.

I have the MS Project 2007 Bible and I use it to try to figure out how to do
stuff, but frankly, it is often more confusing than MS's online help.

Do you have a good book that you would recommend for novices?

Well, I set up a macro that will "prepare" the file (expand everything,
filter for all tasks and sort based on start date.) So no matter what
"state" the file was left when the last person was in it, it can quickly be
prepared for the Resource/Date Range filter. So that will cut out a couple
of steps for them.

But the Calendar View is kicking my posterior! I have no trouble
getting/seeing what I need on the Gantt chart. But the calendar view won't
cough up what I need. (yes, yes - I know this is operator ignorance and
error).

Here's what I need to see on the view for whatever date range i put in:
All tasks for a certain resource, including the summary lines above those
tasks.

Clearly, I'm not doing something in the correct order. Assuming I use the
macro (that I described above) while I'm in the Gantt view, what do I need to
do?

I'm sorry to keep bugging you folks. The book I have is not much help and
the MS online is even less.

Hi mdoster,

So, are you trying to print the Calendar or the Gantt chart view?
In the Calendar view, by default Summary tasks do not print.
You'll need to choose Format > Bar Styles and turn on the display
of summary tasks.

The "Using resource in date range" filter, by default does not
show related summary rows. Edit the filter and check those off.

Then, run the filter on the Calendar view -- does it get you what
you want?
