recurring tasks and resource view?

Hi
I'm new to project so please bare with me if I'm using it all
wrong!

I have created a recurring task that happens every workday and lasts
for 30mins, and should end in a years time.

I have then added the person who should do the task on the resources
view. On the tasks view I have then chosen the person and replicated
their name down the list of recurring tasks.

However, when I now look at resource usage, the first row, that shows
the summary task for the person has 920.5h on the first day? The first
subtask shows 8hr and the second 0.5hr.

This seemed to mean that they were over allocated and could not be

That doesn't seem to make any sense to me. Can anyone explain it
please?

I basically wanted to show the daily recurring tasks such as meetings
etc, as well as tasks relating to completion of projects, to show where
people's time was being spent.

Thank you

Hi Peter,

Welcome to this Microsoft Project newsgroup :)

Make sure you haven't assigned the resource to the recurring task summary as
well, otherwise the summary will be adding in the resource's hours to the
summary hours as well.

FAQs, companion products and other useful Project information can be seen at
this web address: http://project.mvps.org/faqs.htm

Hope this helps - please let us know how you get on :)

Thank you

Peter,
Rather than try to figure out exactly where you went astray, let me just
detail how to set this up. Then you can compare this method to yours.
1. Go to Insert/Recurring Task
2. Set the duration to be 30 min (type that value directly in the
selection box)
3. Set the recurrence pattern for "daily" and every workday
4. Set the range of recurrence to start whenever and end by 12 months
later
5. Make sure you have created a resource on the Resource Sheet (actually
Project will do that for you automatically is you just enter a name in
the Resource Names field of the Gantt Chart but using the Resource Sheet
is the preferred method)
6. On the Gantt Chart view, expand the summary line to show all the
subtasks (the actual performance tasks representing the meetings).
7. There are various ways to assign the resource but perhaps the easiest
is to select the Resource Names field on the first subtask (NOT the
summary line). If you have already created resources on the Resource
Sheet, select the desired resource from the drop down list.
8. Then select the Resource Names field for that first subtask and all
remaining subtasks and do a fill-down.
9. Take a look at the Resource Usage view. You will see a Work value of
..5h for each working day throughout the year.

Hope this helps.
