Resource Allocation Filtering

Hi,
I'm trying to use 'auto filters' in the Resource Allocation view, the
problem being is that I want to use more that one filter - one to apply to
the resource, and one to apply to the tasks underneath the resources.

What happens is the first filter works ok, but the 2nd then just hidesall
the tasks and when I expand out the tasks I don't [ I'm filtering via %
complete and I don't want the tasks that = 100 ] are still there.

Is there anyway of getting project to understand what I'm trying to achieve
or another way to do this ?

Hi Dave,

I'm not sure I understand completely what you are trying to achieve.
Are you attempting to apply a filter on the same field (% work complete)
twice -- once for resources and once for assignments?

If, so, I'm afraid filtering doesn't work that way. With autofilters or
regular filters you can filter on multiple fields, but you cannot apply
one filter, then reapply a different filter on the same field unless you
combine them with an AND or and OR condition.

Filtering in a Usage view combines both Resource and Assignment
(Resource Usage view) or Task and Assignment (Task Usage view) data.

Perhaps if you gave us some more details about what you are attempting

Thanks Julie, anyway here goes with what I'm trying to do.

In the 'Resource Usage' view I have a list, which has a list of resources
and the task/ or assignments underneath each one.

What I want to do is limit the list of resources based on a flag or group,
then I want to limit the list list of tasks/assignments based on % complete
or date.

Does that make sense ?

Hi Dave,

Yes, it makes perfect sense, and you should be able to get it to work.
Just add the Group field and the % Work Complete fields to the view.
(The % Complete field is not available in the Resource Usage view.)

In quick testing I was able to filter by Group and then by % Work
complete (Does not Equal 100) using autofilters. The assignments which
were 100% complete were filtered out of the view with the task which
were less than 100% complete were still showing.

I'm not sure what went awry in your project. Is it possible between the
two filters that all of the assignments were complete (100%) for the
tasks which met your other filter criteria?

Thanks for that - I've actually found out what the problem was.
When I did the filtering on group it was ok, when I used a 'custom flag' it
didn't work - this was because the 'value' of the custom flag was NOT
inheritied by the assignments uo.nderneath it - consequently the filter
didn't work in the way I expected it to.

Is there any way to get flag to cascade it's properties down, or should I
just use a 'normal' field and change the vales to achieve the result I
require ?

Hi Dave,

You are correct. If you supply data in a custom field to a Resource,
the assignments for that resource do not inherit that custom field
value. You have a couple of choices:

1. Use the fill handle in the Resource usage view to copy to data from
the resource field to the assignment field.

2. Use VBA to populate the data. If you are interested in that approach
see the following link to fellow MVP Jack Dahlgren's macros:

He has the code for "Copy Task Data to Assignments" in a macro named
"Copy Task Fields." You would need to modify the macro and change the
references from task to resource and from tasks to resources and change
the fields (he uses Text5) as needed, but if your list of resources and
assignments is large, you may prefer that work to a manual copy process.
