Scheduling Multiple Resources for a Task

R

Hi. I have a Fixed Unit, effort driven task ten days long. I have three
resources assigned to perform this task with varying levels of effort.
Resource one will be on the task for all 10 days, Resource 2 for three days
and Resource 3 for 7 days. I have Resource 1 scheduled for 100% Units,
resource 2 for 30% and Resource 3 for 70%. The result is that Resource 2 is
schedule for 2.4 hours of work/day for 10 days. I'd like Resource 2 to be
allocated 100% of the time for three days. What would be the best way to
accomplish this?

Thanks.

Select the task and then click Window - Split to apply the Task Entry view.
In the lower pane (Task Form), assign the resources as follows:

Resource Name Units Work
Resource 1 100% 80h
Resource 2 100% 24h
Resource 3 100% 56h

When finished, click OK in the Task Form. Microsoft Project will calculate
the Duration of the task as 10 days, based on the longest task assignment,
which belongs to Resource 1. Resource 2 will be scheduled to work the first
three days of the task full-time, while Resource 3 will be schedule to work
the first seven days of the task full-time. Hope this helps.

Dale,

Thanks for the help...I have a follow-up question. For the task below; what
would be the best way to track progress? In my case, Resource 3 completed
20% of her work, resource 1 & 2 have not completed any. I went into the view
you showed me and reduced the remaining hours for Resource 3 by 20% but for
the overall task, the % complete still shows zero. Is there a way to have
Project automatically calculate the overall % complete based on the remaining
work for a resource or do I need to manually calculate the overall % complete
based on a 20% completion for Resource 3?

You updated the progress incorrectly. You should have done the following:

1. Open the Project in question
2. Click Window - Split to Apply the Task Entry view
3. Right-click in the gray part of the lower pane (Task Form)
4. Select the Resource Work details
5. Enter the number of hours of Actual Work for Resource 3 that
approximates 20% of the work completed
6. Click OK

Hope this helps.

Adding to Dale's response - For entry of Actual Work to update the %
Complete, you also need to have the checkbox on the Tools, Options menu,
Calculation page, "Updating task status updates resource status" turned on.
That control either sets or breaks the link between Actual Work and Actual
Duration.
