How do I access a file with a short cut? Say I have a fax form saved in my
documents and I want to access it by simply typing fax and hitting enter...

You want to type 'fax' where?
You could simply right click then drag and drop the document on the desktop
and when prompted create a shortcut.
Or you could save the document as a template and use the method Word
provides for creating new documents from templates.

I would like to type "fax" in a new document and it pull up the form when I
hit enter. Is this a macro? I have several letters or phrases I use over
and over again and would like a paragraph to pop up by just typing a short
string of letters.

I think you can create a small text box or a list box with pre-defined
entries in your document. Create a small command button and use below line to
create a new document based on a template

Application.Documents.Add <name of your template>

Word has built-in functions for what you want to do.

Create actual templates (DOT) files for your different documents. Store
these in Word's Templates folder, and they will appear as options when you
click File > New.

Store your often-used paragraphs, phrases, etc. as AutoText in the relevant
templates.

Create AutoCorrect entries to expand codes or abbreviations of your
commonly-used words or phrases automatically.
