Thanks John.
I'm using MS Project 2003.
I still can't seem to get the report I want. For resources who have work
assignments for the timeframe specified - a week, a month, a certain
timeframe, I only want to show incomplete tasks. For example, I want to Rod
has to complete the "Change Order" task by November 13. When I select the
date range as you suggested I seem to get complete and incomplete tasks since
the project began. I obviously doing something wrong.
The reason I wanted Excel was to get people who are not Project savvy to
enter percent complete, completion dates, revised schedule dates inlieu of
the email service. The last time I used this portion of MS Project there was
a link to Outlook that enabled you to send the task(s) to the assigned
resources with blank fields they could complete and return. One could then
automatically post the updated task to the MPP file. This may be in Project
Server which I am not using. Any advice here?
I tried moving the bar for the gantt chart all the way to the right as you
suggested and it worked as you indicated.
Again thanks for taking the time to help. It is much appreciated.
Rod
Rod,
No you aren't doing anything wrong. I should have given you a little
more information. What you really want is a combination of the "Using
Resource In Date Range" filter and the "Incomplete tasks" filter, but it
also depends on what Project data you want in your report. For example,
if you are after something like the "To do List" report, then the
following filter should work (note: this is just a modified combination
of the two filters mentioned).
And/Or Name Test Value
Finish is greater than or... "Show tasks that...."?
And Start is less than or... "And before"?
And Resource Names contains "Using Resource"?
And % Complete is less than 100%
However be advised that the built-in reports can only be saved or
printed, they cannot be electronically sent to anyone. On the other
hand, exporting the information to another application like Excel, does
make it easy for non-users of Project to update information. In that
regard, there are basically three ways to get Project data into and out
of Excel. If the date is not timescaled, an export/import map should
work fine. You can access the export/import wizard via, File/Save As and
chose the Microsoft Excel Workbook as the "Save as type". If you need
timescaled data, you can use the "analyze timescaled data in Excel"
utility that is found on the Analysis toolbar. It will give different
results if you export from the Task or Resource Usage view. Finally,
there is VBA but that does require VBA experience. The advantage of
using VBA is that the whole process can be automated.
With regard to your wanting to coordinate with your users, you didn't
mention whether you are using Project 2003 standard or professional.
Professional is set up to work with Project Server although you don't
have to use Server. Unfortunately I've never done any coordination work
with Project and Outlook so I'm not the best person to ask about that
functionality. I did however look in Project Help and under the heading,
"Use Microsoft Office Outlook 2003 to track work on your tasks or
projects", there is quite a bit of information that may be of help.
Other than that, I'll have to defer to someone else to help you with
that part.
Sorry I can fully answer your questions.
