THIS FILE IS BEING USED BY USER, DO YOU WANT TO MAKE A COPY

Everytime I try to open a word or excel file, I get a message in the
beginning stating that this file is being used by user xyz..., do you want to
make a copy.
Can somebody help me how to eliminate this error.
