2 contacts folders

L

Larry Tackett

Win XP with Office XP, using Outlook for email. I seem to have 2 Contacts
folders but only 1 shows up on the folder list. When I try to open it, I get
a message saying it cannot be displayed because the folder could not be
opened. Then the address book window opens and if I click the down arrow
next to "Contacts", a second Contacts folder appears. If I click on that
one, no problem, it opens and I can access everything. If I try to delete
the first Contacts folder, I can't. But under the Folders list I see only 1
Contacts folder - the one I can't open. Can anyone help?

Remove the dud folder here:
Tools > E-mail accounts > View or change existing directories or address
books > Outlook Address Book > Change.

Thanks for that. I had the same problem and your response was clear, concise
and worked

I tried that but when I got as far as Outlook Address Book, nothing showed
up - the list was blank. What now?

Your description, if accurate, defies reality. If you have two or more
Contacts Folders listed under your Outlook Address Book, then that dialog
box could not be blank.
Re read what I posted. State your problem more clearly and post back with a
more accurate description of what you are seeing.

I realize you think it couldn't be, but it was as I stated it. Since then
I've tried a bunch of things to correct the problem and something must have
worked - partially. 1. Now I have a Contacts folder in Outlook Today with a
sub-folder called Mailing List.
2. Last week I created 4 Distribution Lists from Mailing List but they are
nowhere to be found in either folder.
3. If I open the Address Book folder in Outlook Today, nothing shows up -
it's blank.
4. If I click on the Address Book icon in the Outlook toolbar, a list of
names & email addresses appears and it is here that I find my 4 Distriubtion
Lists. In the 'Show names from' section, it shows Contacts. If I click on
the down arrow, it shows Outlook Address Book and under that it shows
Contacts.
5. There's no Mailing List subfolder associated with this Contacts folder.
Now, I'm so confused and I've tried so many things to get this working that
I can't remember everything. All I want is for my stuff to be in one place
where I can get to it. Please help me resolve this if you can. Many thanks
in advance,
Denise

I'm not sure this will help but here goes:
Outlook Today-(Archive Folders)
-Address Book
-Calendar
+Contacts
-Mailing List
-Deleted Items
-Drafts
+Inbox...etc.

When I highlight Address Book, the from/subject box says "There are no items
to show in this view."

BUT when I click on the Address Book icon in the Toolbar, a screen called
Address Book comes up with names & email addresses. In the "Show Names from
the:" box, it says "Contacts". If I click the down arrow, it says:
Outlook Address Book
Contacts (contacts is highlighted)
If I click highlight the Outlook Address Book, It says "No entries in this
Address Book".
To further confuse things, the names/addresses that appear when Contacts is
highlighted in this view, are not the same as the ones in the Folder List
Contacts.
I hope this helps.

A couple things seem very strange here.
Why would your Archive Folder be your root Outlook data file? It should
never be your default data file.
The Address Book does not show in Folder List. What is "Address Book?" Did
you create a Folder that you named Address Book?
You'd better tell us how you created your profile and specified your default
Outlook Data File.

I'm sorry but I've done so many things to get this to work that I can't
remember everything. I do know I checked this group for how to move my
contact info from one computer to another. I did that but something didn't
work right. I went back to the group messages and found something that
talked about transferring files using export/import, so I tried that. I did
nothing to configure Outlook on this computer. somthing I did in the
transfer/ex-import established my dsl connection so I have no problem
sending/receiving email. It's just the contacts & address book that are
screwed up. Isn't there some way to fix them?
I really appreciate any suggestions you may offer.

It's easy to get your address books all messed up when you transfer Outlook
data, especially when you use import/export in the process. Outlook is very
intolerant of various methods people might naturally use and provides no
clear instructions on how to do it.
Fortunately, it's very easy to fix because its just a matter of redoing your
Outlook Address Book settings. Your data is not at risk here. The first
thing you need to do is make sure you know the name and location of your
default Outlook Data File. Then we need to know your Outlook version to tell
you what to do.

Win XP with Office XP, using Outlook for email. I seem to have 2
Contacts folders but only 1 shows up on the folder list. When I
try to open it, I get a message saying it cannot be displayed
because the folder could not be opened. Then the address book
window opens and if I click the down arrow next to "Contacts", a
second Contacts folder appears. If I click on that one, no
problem, it opens and I can access everything. If I try to delete
the first Contacts folder, I can't. But under the Folders list I
see only 1 Contacts folder - the one I can't open. Can anyone
help?

A couple things seem very strange here.
Why would your Archive Folder be your root Outlook data file? It should
never be your default data file.
The Address Book does not show in Folder List. What is "Address Book?"
Did you create a Folder that you named Address Book?
You'd better tell us how you created your profile and specified your
default Outlook Data File.

I'm not sure this will help but here goes:
Outlook Today-(Archive Folders)
-Address Book
-Calendar
+Contacts
-Mailing List
-Deleted Items
-Drafts
+Inbox...etc.

When I highlight Address Book, the from/subject box says "There are no
items to show in this view."

BUT when I click on the Address Book icon in the Toolbar, a screen
called Address Book comes up with names & email addresses. In the
"Show Names from the:" box, it says "Contacts". If I click the down
arrow, it says:
Outlook Address Book
Contacts (contacts is highlighted)
If I click highlight the Outlook Address Book, It says "No entries in
this Address Book".
To further confuse things, the names/addresses that appear when
Contacts is highlighted in this view, are not the same as the ones in
the Folder List Contacts.
I hope this helps.
Denise

I'm even more confused.
Sorry. Your descriptions are just impossible for me to follow.

I realize you think it couldn't be, but it was as I stated it. Since
then I've tried a bunch of things to correct the problem and
something must have worked - partially. 1. Now I have a Contacts
folder in Outlook Today with a sub-folder called Mailing List.
2. Last week I created 4 Distribution Lists from Mailing List but
they are nowhere to be found in either folder.
3. If I open the Address Book folder in Outlook Today, nothing shows
up - it's blank.
4. If I click on the Address Book icon in the Outlook toolbar, a
list of names & email addresses appears and it is here that I find
my 4 Distriubtion Lists. In the 'Show names from' section, it shows
Contacts. If I click on the down arrow, it shows Outlook Address
Book and under that it shows Contacts.
5. There's no Mailing List subfolder associated with this Contacts
folder.
Now, I'm so confused and I've tried so many things to get this
working that I can't remember everything. All I want is for my stuff
to be in one place where I can get to it. Please help me resolve
this if you can. Many thanks in advance,

Russ Valentine [MVP-Outlook]

But there is no information in the Address Book. The Address Book can only
display information that resides in a Contacts Folder. So you have a
Contacts Folder in your Outlook profile that contains that information.
Before we repair your profile, it is essential that you identify the Folders
that contain your most current information. We cannot determine that for
you.
That is why I told you to use Folder List view to display every Folder in
your Profile so we can see where your most current data actually resides.
(Use the icon on the bottom pane of the Navigation Panel to display the
Folder List View). Once we know which set of Folders is actually the most
current, we can easily repair your Profile. The names of your Folders do not
help us because they have become corrupt along the way. You must examine
their contents.

A couple things seem very strange here.
Why would your Archive Folder be your root Outlook data file? It
should never be your default data file.
The Address Book does not show in Folder List. What is "Address
Book?" Did you create a Folder that you named Address Book?
You'd better tell us how you created your profile and specified
your default Outlook Data File.

I'm not sure this will help but here goes:
Outlook Today-(Archive Folders)
-Address Book
-Calendar
+Contacts
-Mailing List
-Deleted Items
-Drafts
+Inbox...etc.

When I highlight Address Book, the from/subject box says "There
are no items to show in this view."

BUT when I click on the Address Book icon in the Toolbar, a screen
called Address Book comes up with names & email addresses. In the
"Show Names from the:" box, it says "Contacts". If I click the
down arrow, it says:
Outlook Address Book
Contacts (contacts is highlighted)
If I click highlight the Outlook Address Book, It says "No entries
in this Address Book".
To further confuse things, the names/addresses that appear when
Contacts is highlighted in this view, are not the same as the ones
in the Folder List Contacts.
I hope this helps.

Since then I've tried a bunch of things to correct the problem
and something must have worked - partially. 1. Now I have a

2. Last week I created 4 Distribution Lists from Mailing List
but they are nowhere to be found in either folder.
3. If I open the Address Book folder in Outlook Today, nothing
shows up - it's blank.
4. If I click on the Address Book icon in the Outlook toolbar, a
list of names & email addresses appears and it is here that I
find my 4 Distriubtion Lists. In the 'Show names from' section,
it shows Contacts. If I click on the down arrow, it shows
Outlook Address Book and under that it shows Contacts.
5. There's no Mailing List subfolder associated with this
Contacts folder.
Now, I'm so confused and I've tried so many things to get this
working that I can't remember everything. All I want is for my
stuff to be in one place where I can get to it. Please help me
resolve this if you can. Many thanks in advance,

What I've been telling you is from the Folder List view. My folder list is
as follows:
-Outlook Today - [Archive Folders]
| | Address Book (empty)
| | Calendar
| | -Contacts (This file has info but it is not as current as in the
toolbar's Address Book icon)
| | Mailing List (ditto)
| | Deleted Items
| | Drafts
| | +Inbox (current info)
| | Infected
| | Journal
| | List
| | Notes
| | Outbox
| | Sent Items (current info)
| |_ Tasks
|
|-Archive Folders
| Calendar
| Deleted Items
| Garden Image (contains items from 2002-3)
| +Inbox (contains 1 folder Microcosm)
| Journal
| Sent Items (contains items from 2004)
|_ _ Tasks

My problem is that I can't find the contacts that are associated with the
Address Book icon on the toolbar. I know there's no info in the address book
on the above list, but where is the AB icon getting names, email addresses,
and distribution lists from? I don't know how to find that and transfer it
into my contacts folder.

But there is no information in the Address Book. The Address Book can only
display information that resides in a Contacts Folder. So you have a
Contacts Folder in your Outlook profile that contains that information.
Before we repair your profile, it is essential that you identify the
Folders that contain your most current information. We cannot determine
that for you.
That is why I told you to use Folder List view to display every Folder in
your Profile so we can see where your most current data actually resides.
(Use the icon on the bottom pane of the Navigation Panel to display the
Folder List View). Once we know which set of Folders is actually the most

not help us because they have become corrupt along the way. You must
examine their contents.

It's easy to get your address books all messed up when you transfer
Outlook data, especially when you use import/export in the process.
Outlook is very intolerant of various methods people might naturally
use and provides no clear instructions on how to do it.
Fortunately, it's very easy to fix because its just a matter of
redoing your Outlook Address Book settings. Your data is not at risk

But what's confusing me is that "Address Book" never shows up in Folder List
unless you created a folder and gave it that name. In its properties, what
type of folder does it say it is? Does it contain anything at all?

The Folder named "Outlook Today" is your default Outlook Data File. It
should never also be your Archive location. I can only assume that at some
point you designated your autoarchive location to be the same as your
default file. See if you can reset the autoarchive location to your archive
file in Tools > Options > Other > Autoarchive...

What exactly do you see in your Outlook Address Book that you do not see in

shows up - it's blank.
4. If I click on the Address Book icon in the Outlook toolbar,
a list of names & email addresses appears and it is here that
I find my 4 Distriubtion Lists. In the 'Show names from'
section, it shows Contacts. If I click on the down arrow, it
shows Outlook Address Book and under that it shows Contacts.
5. There's no Mailing List subfolder associated with this
Contacts folder.
Now, I'm so confused and I've tried so many things to get this
working that I can't remember everything. All I want is for my
stuff to be in one place where I can get to it. Please help me
resolve this if you can. Many thanks in advance,
Denise
message Your description, if accurate, defies reality. If you have
two or more Contacts Folders listed under your Outlook
Address Book, then that dialog box could not be blank.
Re read what I posted. State your problem more clearly and
post back with a more accurate description of what you are
seeing.

I tried that but when I got as far as Outlook Address Book,
nothing showed up - the list was blank. What now?
message Remove the dud folder here:
Tools > E-mail accounts > View or change existing
directories or address books > Outlook Address Book >
Change.

Win XP with Office XP, using Outlook for email. I seem to
have 2 Contacts folders but only 1 shows up on the folder
list. When I try to open it, I get a message saying it
cannot be displayed because the folder could not be
opened. Then the address book window opens and if I click
the down arrow next to "Contacts", a second Contacts
folder appears. If I click on that one, no problem, it
opens and I can access everything. If I try to delete the
first Contacts folder, I can't. But under the Folders list
I see only 1 Contacts folder - the one I can't open. Can
anyone help?
Denise
