Assigning resources part time to a project (weekly)

Hello,

One of my resources comes in every Thursday and Friday for about a year. I
am assigning him 40% on the projects he is assigned to. But is there a better
method so that Project (2003) knows that his resource calendar has
non-working days on Mon, Tue, Wed, Sat, and Sundays?

Hey there Dip,

Hope you are doing well. A resource calendar by default will over
write any other calendars assigned. So if the resource calendar has
been setup and applied to the resource it should work.
Go and create a resource calendar with monday - wednesday as non
working and thursday and friday as working time. Then on the resource
info page make sure that the resource is assigned at 100% by default.

Surely he is assigned 100% with respect to his calendar?

Maybe I've misunderstood something then. I made a project with two
resources one of whom only worked Thursday and Friday.

If you assign them to a task for the totality of their available hours,
then their allocation becomes 100% for both of them.

If you change the calendar-restricted resource to 40% then the number of
hours worked by him is further reduced.

I am using Project 2003.

Yes, I would like to make this resource working 2 days a week for 100%. How
could I do that ? I mean I know I can do this manually for the whole year. Is
there any shortcut to automate this process for 52 weeks?

I am well thanks , my sone was born on the 23rd September so i am
fabulous!! Create a resource calendar for that specific resource that
has thursday and friday as working time.
Then go to the resource view if it is a local resource or open the
enterprise resource pool once you open the recource properties on the
general tab there is an option to apply the
custom created calendar to your resource.

Bearing in mind what impact this might have on your schedule.
Depending on your taks type , task might not move for the affected
resource, or task might become longer induration if that part time
resource is assigned to a task.

In the Resource Sheet view if you double click on your resource and then
click on the working time tab. You can then edit the calendar for that
resource on a week by week basis. This is a bit tedious but shouldn't
take long.

This is tedious. But i noticed i could use ctrl and then select from each
week the mon, tue, wed and then make them "non working time". Is this way you
are suggesting?

Hi Dip,

Pardon me for bumping in but you can make all Mondays, Tuesdays, and
Wednesdays nonworking in a *much* easier way. See FAQ #5 at
http://project.mvps.org/faqs.htm

Please note the different steps for Project 2007 versus Project
2003. If you need more step-by-step directions, please let us know
which version of Project you are using.

Hello Julie,

Not at all! In fact, I am always waiting for you to come and rescue us from
problems like resourcing!
Yes, that was what I am looking for and it is working for my part time guy.
Since he already started his 2 ongoing tasks, I deleted his resourcing and
re-resourced the 2 tasks. The only thing that looks a little odd is that even
1% of task completion of these 2 tasks show a lot more than 50% on the shaded
area (bar). Probably because the tasks are ongoing.

Hello Dip,

Glad to have helped :)

To your comment concerning the progress bar, remember the shading is
based upon percent complete, which is a duration measurement.
Particularly with a resource who only works two days per week -- it
may show "fast" progress.

Hello Julie:

I have changed all this for the part time resource (working Thursdays and
Fridays for 8 hours/day), and it is working fine with 2 tasks or 2 hours
(25%), and 6 hours (75%). But this morning, they show in "red". I checked the
Resource Information (General tab) and found that the units showed 40%. After
I changed this to 100%, all are "black" and OK.

Any advice on this?

I'm afraid I can't explain how the resource's max units (value you
saw on the general tab of the Resource Information) was set at 40%.
If you have changed the resource's working calendar to only allow
Thurs & Fri as working days, I'd keep the max. units at 100%.

Hello Andre,

If I am guessing correctly, that the Max Units got changed for the
resource, no, Resource Leveling won't do that. It is possible
another project user changed the resource's max. units in the pool
file, but Resource Leveling will never change max. units nor change
assignment units. Both require some sort of manual intervention
from a user.
