Assigning resources to tasks

L

Lars Westphal

Hi,
I have in my project mutiple tasks with subtasks like
1.TaskA
TaskA1
TaskA2
2.TaskB
TaskB1
TaskB2
etc.

These should are assigned to the same resourches because the work to be done
is actually the same. Could somebody advise how to schedule them without
getting an error message?
Many thanks beforehand.

I need more information. What error message are you getting, and what
exactly are you doing when you get it?

Hi

if the "error" message you're getting is along the lines of "this resource
should be levelled on a day by day basis" ... and they turn red in the
resource sheet, this means that as they're currently scheduled the resource
has too much work to do in the allotted time. The resource levelling tool -
tools / level resources .... click the LEVEL NOW button, should reschedule
the work so that the resource can do the tasks one after another.

Before using this tool however, take a copy of the file (just in case you
don't like what it does) and to see the effect of the levelling use the
Levelling Gantt view (view / more views / leveling gantt) ...

Hi all,

I have to slightly disagree.
No need for a backup.
Clear leveling DOES clear leveling, completely.
Hope this helps.

Hi Jan

I used to have a lot of trouble with this back in Ver 98 ... so guess i'm a
bit paranoid about it - and so i've always saved first ever since - however,
i'll take your word for it and try it without saving next time :)

Julie,

Just when I posted it I thought of the following.
When you have a "leveled" situation A and you level one more time to a
situation say B, indeed clear leveling will not revert to situation A but to
a fully unleveled situation.
So when you think you will need an "undo" to an already leveled situation
you indeed need a backup.

Hi Lars

use the Resource Allocation view (view / more views / resource allocation)
and filter for overallocated resources (little drop down box on the right of
the formatting toolbar) ... you can then see the actual work that the
resource is doing ... you should be able to spot what is wrong by using the
gantt chart view or the hours view displayed (note, move the centre bar to
the right & display the start & finish dates & TIMES (if you can't see
time - tools / options / view - date format) ....)

let us know how you go

Hi Lars,

As long as you don't level by minute, some resources may remain "red"
If yopu have 2 meetings 8-12 today, and nothing else on your plate, leveling
day-by-day will not move any task but you will still be overloaded 8-12
(hene shown in red)

Hi Jan

the other reason for the "overallocation" could be that he assigned more
than the maximum availablity of the resource ..which is why i suggested a
look at the resource allocation view - as it's pretty easy to spot in there
if it is a time conflict thing or an "actual" overallocation

Cheers
