How do I would revise the baseline to include changes to the sequence of
the tasks but not include the progress on the project in the new baseline.

Also how do I save multiple baselines? Which one is the comparison
baseline?

Hello Laz,

Sorry, if you re-baseline and you have tracked data, the baseline
information (start, finish, duration, work, and cost) will reflect the
tracked data.

A couple of workarounds that *may* work -- I haven't tested any so try
it on a copy of your file:

1) Export the baseline original data to Excel. Then carefully copy and
paste switching the baseline data around. Make sure you work with not
only baseline start and baseline finish, but also baseline work,
duration, cost for the tasks and assignments.

2) Copy the original baseline data to empty baseline fields in Project
through Tools > Tracking > Save baseline, click Interim plan and copy
Baseline to Baseline10. The again, carefully copy the appropriate data
swapping the old order for the new.

How can I make the changes to that baseline and import it into the current
up to date project plan file?

Hello Laz,

Sorry for the delay.

I'd suggest exporting the baseline from the archived file into an excel
file. I'd export task baseline (using the baseline table as a start),
resource baseline (create a custom map pulling resource name and all
baseline data), and assignment baseline (I'd pull task name task ID,
resource Name, Resource ID and then baseline cost, start, finish, and
work).

Then merge that information into your working file. **Clearly test it
on a copy first**
I'd use the Task ID as merge key but do not merge the excel data into
the fields suggested by the import wizard. I would merge task name
information into a spare text field, and then the baseline information
into one of the spare baseline fields (Baseline10 for example). That
way after the merge you can compare information (using task name) to
move the baseline data where you need it.

If you need more detailed information about either exporting or
importing, please post back.

I do think I understand your directions but do not know what to ask yet
about importing the data. Hopefully I will have no questions on this. But
if so I will post again.

to copy/paste the baseline data to match the revised sequence of tasks.
For example your original process flow was A > B > C > D. You have
baselines for each task. Your new process is A > C > D > B. You'll
want to manually match the new order.

[Julie] It will match Task ID to Task ID - that is why I suggesting
taking the "old" data into spare fields and not overwriting any existing
data. For example, by taking the Task Name from your original file and
merging that into the Text1 field in the current file (not overwriting)
you should be able to match the tasks up.

Hi Laz,

If you've extensively changed the link relationships, I imagine the
Baseline Start and Finishes would really not be useful for comparison
purposes any longer. I guess some of the answer would be why you are
changing link relationships at this point in your schedule.

Generally what I am trying to discover when comparing baseline to actual
are variances from the original plan against changes made in the process
of tracking -- for example we underestimated the effort required on this
task and it took 2 weeks longer due to the missed estimate. If you've
extensively re-worked the original plan and these changes were not the
result of actually executing the project but rather errors or
"re-thinking", I'm not sure I'd want to be held to the original
baseline.

original plan to match the contractor’s requested sequence by changing the
sequence of tasks. The individual tasks and durations for the baseline we
want to keep the same.

We have already started the project, but the tasks that we are going to
“re-sequence" have not started yet. I want to modify the predecessors and
successors of about 12 lines out of 514 and there are another 10 task with a
Constraint Type = Must Finish On that require that Constraint Dates be
changes.

Did you see my post about "set baseline" and manually changing the baseline?

Hi Laz,

Sorry for the delay. I really hope you experimented on a **copy** of
your file.

I just ran through a quick test in Project 2007 with importing data and
discovered much to my horror that importing and merging the data is
removing all link relationships from the project file effectively
ruining the file.

So, with that in mind, I'm going to strongly suggest *not* attempting to
import data into a Project 2007 file.

In quick testing, copying and pasting from one project file's baseline
into the baseline fields of another project file seems to be working
okay. It is *not* a great answer, but because of the significant
trouble with importing, I cannot recommend importing!

So sorry to have led you down this path -- I had tested this using
Project 2003 without incident but after you comment about using Project
2007 and "set" baseline, I thought I'd run a quick test before replying.

I had run into the problem with tasks coming unlinked on import about a
month ago but foolishly thought that was only an issue with updating
actual work through import -- I did not realize the problem extended to
using spare baseline and text fields.

Please see my most recent message about significant problems with
importing Excel data into a Project 2007 file.

To answer your question directly, you open the Excel file in Project
which will launch the import wizard. You'll need to change the file
type in the Open dialog box to Excel.

I still have a few questions I can not answer and am a little confused.

The other thing to consider is that if the contractor is asking to
re-sequence that few tasks, will everything basically wash out at the

D > Milestone and the contractor wants it to be B > A > D > C >
Milestone, does the summary duration/work/start/finish change or is it
just the individual task schedule? If the summary information remains
stable, I don't know if I'd devote large amounts of time updating the
baseline. Bear in mind, there is nothing magical or mystical about
baseline data. It's purpose is to be a comparison point for actual
data. If there is variation at a detail level but it all washes one or
two levels up, I'd put notes on the tasks that the contractor asked to
shuffle (making sure I had a change authorization as needed)

a copy of data from when the baseline was saved. The only part
baselines play in calculation is the calculation of variances. If you
are changing predecessor/successor information, you should see the dates
in the project change immediately. If not, check the following:

make sure your calculation (Tools > Options, Calculation tab) is set to
automatic. Make sure you haven't constrained tasks unnecessarily by
typing dates
Make sure you don't have actual start dates against the tasks.

I'm glad things are making sense. Thanks for the feedback.

To your new question - there are three categories of data in Project:
tasks, resources, and assignments. When you display a view in Project,
you are usually focusing on one type of data. For example the Gantt
Chart view shows you task information -- task names, task start and
finish dates, task duration, task predecessors, and resources who are
assigned to the task. If you switch views to the Resource Sheet view
(used to define resources) you are looking at resource information -- no
task information is visible. When you assign a resource to a task, you
create an assignment -- the pairing of a resource to a specific task.
Both The Task Usage view and the Resource Usage view show assignment
information. The Task Usage view organizes your project by tasks and
indented underneath each task is the assignment information for one or
more assignments on the specific task. When you display the Resource
Usage view, you are looking at the assignments in your project organized
by Resource. Each resource is listed and underneath each resource is
that resource's assignments.
