Custom Bar Styles

KimberlyC

Hello everyone...Happy Valentine's Day!
I need help in formatting bar styles.
We have our bars color coded for a "quick view" of whats behind, on
schedule, on hold/cancelled and complete. I need to know what I need to
enter on the bar styles format screen to accomplish the following:

Red--the task is behind or past the deadline date

Yellow--the task is on schedule--the deadline date has not passed

Green--the task is complete--actually I was able to figure that one out.

Gray--the task is cancelled or on hold. I am thinking that will need to be
a manual entry.

Purple--the task is entered, but has not been assigned or scheduled yet.
Like when you first enter a task.

Currently, I am doing these manually. I appreciate any help.

Thank you,

K

KimberlyC

Oh, I know how to change the colors on the bar style format box. I just need
to know what changes to the name (From/To) to make in order to accomplish
what I am trying to do.

Kimberly,
The From and To columns will be the Start and Finish fields for that
task, unless your intent is to color just a portion of the task bar.
What you need to set up is a series of spare flag fields that are set
based on your criteria. Then assign your Gantt bar style to the
appropriate flag.

For example, for the red bar use the following formula in Flag1:
IIf([Finish]>[Deadline],Yes,No)

Use a similar formula for the yellow bar. You said you already figured
out how to do the green bar and you also know a gray bar will require a
manual entry. Likewise with a purple bar, you will need a manual entry.

Hope this helps.

Kimberly,
OK, apparently you haven't worked with customized fields. For
convenience in seeing the results, add 4 spare flag fields as columns in
the active view (it must be a task view). You said you already figured
out a way to get the green bar, so you will only need 4 flags to cover
the other bars. Now to go Tools/Customize/Fields and select Flag1,
(assuming you are using that for your red bar), from the list. You may
need to select "Flag" from the "Type" selection box in the upper right
corner. Next, hit the Formula button. Finally, insert the formula I gave
you and close out of the Customize Fields window.

Then under Format/Bar Styles enter "Normal,Flag1" in the "Show
For....Tasks" and create the desired red bar format.

Use a similar process for the Yellow bar. For the gray and purple bars,
you do not need to customize the spare flag with a formula. Simply enter
"yes" into the designated flag field for those tasks that meet the gray
and purple criteria. That should get you going.

Hi Kimberly,

Pardon me for jumping in. I think John said "it must be a task view"
to differentiate between task views (like Gantt chart) and resource view
(like the Resource sheet.)

You are correct, if you apply the Task Sheet view, the Format > Bar
Styles command is not available as there are no bars to format, but if
you apply the Gantt Chart view, things should work according to John's
directions.

I hope this helps. Let us know how you get along.
