If I assign resources from the Build Team From Enterprise
window, can I still define the resource with a Max Units
of 40% in the individual project Resource Sheet and have
that take precedence? If so, and I have the resource
assigned to 2 projects, one at 40% Max Units and the other
at 50% Max Units, will the Enterprise Resource Pool still
show this resource as having 10% remaining availability?

Jeff:

Other than the concept of being on the team, resources aren't assigned to
projects, they're assigned to tasks.. Setting the max availability for a
resource on a task determines how Project will schedule the work. Remaining
availability = Max availability - assigned task work across all projects.
This will vary from minute-to-minute, hour-to-hour, day-to-day, etc. What
exactly are you trying to accomplish?

Jeff:

That's how it works in many organizations, however that's not the way
Project and Project Server work. Once again, you can't simply assign a
resource to a project, only to tasks. Now, you need to figure out how to get
the functionality that Project and Project Server provides to meet the needs
of your organization.

Gary,
The resources are assigned to tasks. I originally populate
the Resource Sheet from Build Team From Enterprise. Once
the resource Sheet has been built, the resources are
assigned to tasks.

What I was trying to achieve is altering the Max Units
from what is estblished in the Enterprise Resource Pool
(im my example, 80%)to a lesser amount per project (in my
example 40% for an individual project). By doing this it
should create the schedule based on the 40% availability
negotiated for this project, rather than the 80%
availability. I imagine one way to accomplih this would be
to go to the Resource Information window for each
resources and change the resource availability start and
end dates to the duration of the project, but I was hoping
that there was a way to establish the lesser % at the
Resource Sheet level.

Does this make sense? Without this ability, a PM cannot
use the tool build the schedule at the 40% availability
level, nor will the PM get over-allocation notification
when the 40% level is exceeded.

Jeff:

Assign the resources to each task at the percent units negotiated. Setting
max availability in the resource pool simply establishes a default value for
the assignment process. In other words, if the Max units is set to 100%,
when you assign a resource to a task, it will default to 100% unless you
tell project otherwise.

Are your project managers using the drop-down list in the Gantt chart to
assign resources? If so, you need to teach them how to properly assign
resources to tasks in Project.
