How to add a recurring assignment

D

David

I would like to add a task for every individual on my team
so that each person has x hours per day allocated to this
task.
This is an on-going support task.

I want this task defined so that Project shows that x
hours of work recurring on each day for each person.

I could set up a recurring task for each work day, but
this does not easily allow me to define the same resource
on the task for each day.

Any ideas on how I may do this?

Thanks

Hello David,
I think that the easiest way to assign resources on this on going task is
to define a Percent Allocation for each assignment. For example, if your
resources work 8 hours a day in the company, and specifically 1 h a day on
that task, you will assign them with the 12.5% (Ms Project will convert to
13%) allocation.
25% for 2 hours a dat....

Gerard:

I actully tried this first. a 25% allocation to this task
and 75% to any of their other tasks.

The problem is that Project does not spread that 25%
allocation across each day. Instead, it lumps the hours
together.
Some days one of my team shows 16 hours assigned to the
task while on other days, there is no work assigned.

Any other thoughts?

Thanks...David

Very strange : I checked it right now and Ms Project spreads evenly the load
of work hour by hour, .
Check it in the Resource Usage View.
May be do you have resource overallocations : the same resource works on
several tasks at the same time.
In other respects, you may have some vacations in the resource calendar.

I was able to get this to work now as well.

I removed all of the resources and then reassigned them to
the task. I did this change via the resource tab within
the task.
When I orginally added resourcses to this task, I recall
doing it via teh resource window pop up and not the tab on
the task.
Perhaps the resources were not assigned properly when I
did this the first time.

Thanks for your help.

This is the one exception to the "never assign resources to summary tasks"
rule. When you insert your recurring task set it recur daily and with x
hours duration. You'll get a summary task with all the daily tasks indented
under it as subtasks. When you assign your resource, assign him to the
summary at 100%. You'll notice his name does NOT appear next to the summary
bar but when you click the outline symbol and expand it to see the details
his name will show up there.

Tha being said, I'd urge you to reconsider including the support task in
your project plan at all. MS Project should be scheduling, well, projects.
It is not an employee time-management program. IMHO, the only tasks that
should be included in a project schedule are those activities that directly
drive the creation of the project's deliverables. Anything else the employee
is doing, not directly driving the project's results, are time away from the
project and should be tracked elsewhere. Your approach has many problems -
for example, the cost of the support task will be included in the project
budget. But it really isn't part of the project budget at all. You'd be
paying for those hours whether your project was going on or not. The
project cost is the cost you are incurring to do this unique endeavor amd
only a portion of your total cost of doing business.
