Resource Pool Limitations

Hi Ms MIS,

According to the Project Specifications, you may have 999 sharer files
connected to a resource pool.

I would suggest however, that the number you can realistically connect is
significantly lower.

I once had 60 plans attached to the same resource pool, with 4 project
managers changing plans on a regular basis. It worked but we had to stagger
the times when we did updates so that plans weren't locked up. I would
encourage a move to project server.....

Thanks guys, the reason I ask is due to the fact that we have been
experiencing some unusual behaviour. We have approx. 100 plans attached to
the same resource pool, with 5 project managers regularly changing plans. The
main problem we have experienced is the fact that the resourcing does not
always appear to feed through to the pool despite it being visible in the
Gantt chart view and in the resource name column. Instead in the resource
usage view it places a zero against the task in question, if you then take
the units down to 0% and back up to 100% it tends to fix it. Do you think
this could be happening due to the number of plans we have attached?

Hi,

It's more likely that there has been a messup with the addresses.
Have you verified them in Tools, Resource Sharing in the pool?

I regularly check the links/addresses and there are no problem with the
addresses.

I haven't heard of this specific issue. I assume all project managers are
updating the pool after making resource assignments?

I would also want to make sure that all of the Project installs had the
latest and greatest service pack (SP-2 if you are using Project 2003) One
of the fixes that SP-2 fixed was some instability around updating and saving
a resource pool.

That is correct the project managers are updating the pool after making
resource assignments.

We are using MSP 2002, not 2003. Do you suggest we upgrade?

Hi Ms MIS,

I just tried (in MSP 2002) to reproduce your problem and in a very quick
test, I was unable to (using far fewer files that 100 connected to the
pool.)

I was able to produce some differences between the sharer file and the pool
file if I closed the sharer file without updating the pool. The assignment
information (including correct hours etc.) would appear in the resource
usage view in the sharer file but no data would appear in the pool file's
resource usage view if I opened only the pool file without the sharer file
being open.

My concern is that with 5 PM's working with 20+ files each, it is fairly
easy for one PM late at night and in a hurry to miss updating. If you look
at the resource pool file's resource usage view can you track down which
sharer file information is appearing incorrectly? (Add the Project field to
the view). Is it all files or only a few?

As far as updating to Project 2003, I can't recommend upgrade one way or
another as I haven't been able to reproduce the problem. -- Sorry.

In an earlier post, you mentioned that you had seen a problem that was
resolved by installing SP-1 for Project 2002 -- are all of the installations
of Project 2002 now running SP-1?

Hi,

For what it is worth..... One issue that does appear to still be there for
Project 2002 and resource pools is the error message
"The file cannot be opened
Check that the file name and path are correct
Check that the file format is recognized by Microsoft Project"
etc

This error occurs in Prj2002 when I open the resource pool with write access
and try to save multiple changes. The first change saves just fine, the
second attempted save generates the error.

So, this appears to still be an issue, even with SP-1 applied to Prj2002.

This does not happen with Prj2003 SP-2.

Thanks I have just installed SP-1 to resolve this error which we are also
experiencing in the hope that this will work. Evidently this is still a flaw
not rectified by the SP so I may need to consider the upgrade as suggested to
at least deal with this issue.

I would l love to think it was the project managers who did not update
changes to the pool but as I myself have tested it I know that is not the
case. The problem we experience does not even show the correct hours in the
resource usage view in the sharer file.

We have only installed the SP-1 on all users' machines yesterday.

Thank you for all your help, I know it can be difficult to resolve matters
if you cannot duplicate the problem. If by any chance you do find an answer I
would be grateful for you assistance.

We are experiencing the error below ("The file cannot be opened

Check that the file format is recognized by Microsoft Project"
etc) and we are on MP 2003 WITH the SP2. It has halted our resourcing capabilities. Do you have any other ideas or suggestions or know of any new fixes?

Hello Eliza,

Is the error "The file cannot be opened......"etc occurring on a
resource pool file? Is this a recent error?

A bit more details (when did it happen -- can you open on other
machines -- confirm the file is stored where you think it is) would be
helpful.

If you've installed a security fix it may be possible that the legacy
file format is causing problems. Check Tools > Options, Security and
allow legacy file formats.

Hi,

An error like that suggests file corruption. Remember with linked
consolidated projects and resource pools, if anyone renames a project, moves
it or over-writes it (with a copy taken off-site for example) without first
unattaching from the pool, then a file corruption will occur sooner or later
(when not if).

Try unattaching the project from the pool. Worst case is you need to
unattach all projects then create a new pool and re-attach all projects. For
your number of projects, obviously a VBA macro would makes things much
easier!

Keep very regular backups of all proejcts in case of further corruption.

If you can open the problem project and unattach from teh pool (make sure
the pool is open in read-write mode) save it to xml format then re-open and
save as mpp to get rid of any possible corruption.
