Unpublish Assignments?

D

Dave

Is there any way, excluding deleting the project, to remove published
assignments for a particular project?

I have a project that is "draft" that is showing up in people's resource
allocations becuase assignments have been published. I want to remove these
assignments until the plan is finalized.

Thanks

Remove the resources from the tasks and republish the plan. Deleting and
reimporting is easier.

Ahh. Slight problem(s).

1.If I delete the resource names I lose all my work values.
2.If I try and replace using build team from enterprise I can only replace
once. I.e. I have 2 individual developers tasked with something and I can
only replce one (not both) with the generic developer resource.

Use Gary's second suggestion instead. Save the project as an .MPP file,
then ask your Project Server administrator to delete the project from the
Project Server database. When the project is deleted, the resource
assignments will be deleted as well. Then import the project back into the
Project Server database using Tools - Enterprise Options - Import Project to
Enterprise. Hope this helps.

I agree; save, delete, import and save but don't publish!

One thing you will find is if you remove a resource that has work assigned,
the resource will be removed but the work will remain assigned, with no way
to correct it, short of directly accessing the fatabase through SQL. The
resource will see the assignment in their Tasks but it will be grayed out
with no way to reduce the hours to zero.

We have found that you must reduce work to zero and publish before actually
removing a resource from a task to avoid this. Some would suggest keeping
the resource on the task with zero hours, but until a robust timesheet
lockdown is provided, there is nothing preventing the resource from
submitting time against the task.

Dale/Gary,

I'm doing as you suggest but after the import the assignments are
automatically published and show up in the resource allocation. It's like
the project remebers that assignments were published and automatically
updates the server or something.

I'm the administrator for the server.

Please open the project, then click Tools - Options. Click the Collaborate
tab and look at the checkboxes at the bottom of the dialog box. Are either
the "New and Changed Assignments" or the "Project Plan" options checked? If
so, that may be why your project is being published every time you attempt
to import it and then save it.

Second thought: When you say "show up in the resource allocation", are you
referring to the resource's assignments in the "View Resource Assignments"
page in PWA, or the Resource Usage view in Microsoft Project 2002? Perhaps
the answer to this question can lead us to the correct answer.

Hi Dale,

I'm referring to the "View Resource Availability" pages in PWA.

I opened the project and checked the settings. Both the New and Changed
Assignments and Project Summary checkboes were unchecked. I then closed the
project file and did the import yet again. During the import I got a screen
that mapped my project's resources to enterprise resources. All my resources
mapped to people in the enterprise pool. After the import was successful the
wizard said that I should republish assignments. I finished the wizard and
closed the project plan. I got prompted to save the project but said no. I
did not publish the resource assignments or do anything else. Yet, upon
viewing "View Resource Availability" on PWA the project once again shows in
the resource's assignments. However, when viewing "View my tasks" or "View
resource assignments" the project is not there.

You have now encountered some of the non-intuitive features of Project 2002
and Project Server. The software is working correctly, even though it is
not what you had expected.

When you save a project in the Project Server database but have not
published it, some of the information about that project is immediately
visible in the Project Center views, even though the project has not yet
been published. When you save a project in the Project Server database but
not have not published the assignments, the resource assignment information
is immediately visible in the "View Resource Availability" section of the
Resource Center page, but it is not visible in the View Resource Assignments
page.

Thus, you will not be able to stop the assignment information from appearing
in the View Resource Availability section of the Resource Center page, no
matter how many times you delete and reimport the project. I know it's kind
of confusing, but that's how the software works. Hope this helps.
