What the best way to capture non scheduled tasks

I have tasks that my team do which I want to capture the time and cost
against the project but I I would prefer not to schedule them as they
are adhoc in nature. The activities are things like assisting team
members etc.

Probably the best way is to go ahead and set up a task but do not link
it to anything other than the finish milestone. You can either set up a
single task spanning the full duration of the project or do it in
monthly pieces (more flexible). To track the cost you will need to
assign those resources that are doing the adhoc tasks and then enter
their time as necessary.
